Are you an experienced Team Administrator? If you are seeking a challenge, join us in the Crisis Care Centre at the Harplands Hospital. The successful candidate will primarily support the Crisis Care Centre and will have excellent communication skills, recent secretarial/administration experience, and be well organized. Applicants should be qualified and proficient at minute taking.
Main duties of the job
- Provide a comprehensive administrative support service to the assigned Team, cross-covering for peers in other Teams as required and be willing to be flexible. This includes relevant experience in an administration role, experience of minute taking, RSA Stage 3 or equivalent, and good computer skills.
- Maintain experience of electronic/manual filing systems and use of office equipment. Demonstrate excellent prioritisation, written and verbal communication skills, and strong teamwork. Be willing to undertake relevant training courses.
- Provide and receive routine information, possibly requiring tact or persuasive skills, and handle routine/complex or sensitive information as appropriate. This includes responding to information requests, advising on areas of knowledge, liaising with partner services, and preparing/completing routine documents (letters, reports, presentations, forms) including photocopying and filing. Handle telephone queries and direct as appropriate, and assist patients/clients/relatives during incidental contacts such as phone calls.
- Make decisions when necessary, for example prioritising work and resolving conflicting diary appointments and schedules.
- Carry out data entry, text processing or storage of data, using paper or computer-based systems. This may include taking and transcribing formal minutes and producing basic statistical reports, and maintaining information systems. The role may require substantial use of the computer and advanced keyboard skills equivalent to RSA Stage 3.
- Understand a range of routine work procedures, follow established policies and procedures, and work with some guidance from precedents and codes of conduct. Work is managed rather than supervised.
- Plan and organise straightforward tasks, activities or programmes. This may include maintaining effective filing systems and electronic databases, coordinating training schedules or events, and arranging meetings/diary management and room setup.
- Maintain auditable stock control and/or security of stock, with emphasis on cash handling and stationery, and manage resources such as clinical/medical stock or equipment (e.g., projectors, laptops). Include receipt of goods, stock levels, issuing stock, and cash office control.
- Provide advice or demonstrate activities/routines to new or less experienced colleagues; undertake surveys or audits as necessary to own work.
