Full Time: 37 hours per week (4 on 4 off shift pattern until Midnight, some weekend work required)
Job Overview
Our client is looking for an efficient and professional switchboard and reception service operator within a secure communications environment, ensuring all calls and enquiries are handled promptly, accurately, and with a high level of customer care. Candidates will need excellent experience of operating a switchboard and covering reception, and a good level of Welsh ideally Level 2.
Key Responsibilities
- Deliver a quality customer service to all members of the public and internal personnel.
- Answer and manage incoming calls to a centralised switchboard, using prescriptive questioning to filter and direct callers to the appropriate department or individual.
- Where possible, provide advice or resolve queries at the first point of contact.
- Operate the fault reporting system in line with established procedures and escalated issues when necessary.
- Provide support to operational teams during major incidents or exceptional circumstances.
- Receive and transmit data, including emails, and utilise internal systems to assist with resolving enquiries.
- Ensure compliance with policies relating to Equal Opportunities, Health & Safety, Data Protection, and related legislation.
- Undertake any additional duties as required, commensurate with the role and grade.
- Provide reception cover when required, including admitting authorised visitors, signing in visitors, issuing passes, receiving and signing for post and deliveries, and ensuring timely notification to recipients.
Essentials / Qualifications
- NVQ Level 2 (or equivalent qualification), or relevant proven experience.
- Level 2 Welsh speaker.
- Ability to communicate fluently in both Welsh and English.
- Strong communication skills and the ability to work effectively both independently and as part of a team.
- Competent in using IT systems, including standard Microsoft Office applications.
