Job Opportunity: Studio Manager

Freehaus is seeking a full-time Studio Manager to join our London team. The ideal candidate will possess excellent communication and administrative skills, playing a pivotal role in ensuring the seamless operation of our practice.

The role involves working closely as part of our ambitious team and supporting the whole practice with administration duties, particularly the practice Directors. This role will suit an ambitious, energetic individual with experience, attention to detail and a proactive attitude.

Responsibilities
  • Manage general office administration, maintain office supplies, and handle day-to-day correspondence.
  • Responsible for overseeing staff and HR requirements, ensuring effective coordination with external HR consultants.
  • Provide diary management support for the Practice Directors.
  • Provide comprehensive IT support by addressing staff queries and liaising with external IT software specialists to resolve office-related IT issues.
  • Manage and monitor studio finances, including invoice tracking, payroll coordination, and collaboration with the accounting team.
  • Administer expense management processes through Hubdoc and Xero, ensuring accuracy and compliance.
  • Support with bid-writing for project opportunities.
  • Maintain and update office policies and coordinate insurance and maintenance requirements.
  • Assist with meetings, including scheduling, preparation, and documentation.
  • Support marketing outputs such as social media campaigns and press releases.
  • Maintain staff records in compliance with data protection policies and GDPR.
  • Support Directors with performance reviews and employee relations.
  • Plan, organise, and oversee office events to support team engagement and company culture.
  • Greet clients, answer calls, and prepare meeting rooms for external visitors.
  • Support recruitment processes, including job postings, candidate management, and onboarding.
Desirable experience/skills
  • Excellent verbal and written communication, organisational and time management skills.
  • Proficiency in Microsoft Office and Adobe Suite, in particular InDesign & Photoshop.
  • Ability to work independently, prioritise tasks, and solve problems.
  • Experience of architecture/construction industry would be advantageous.
  • Experience with marketing/PR is preferred.
  • The ability to support the preparation of reports, and other written documents.
  • The ability to contribute to broader practice ambitions such as policy writing and bids.
  • Financial acumen and the ability to prepare and interpret management reports.
  • Proficiency in Xero and Hubdoc is advantageous.
