Our client is seeking an organised, proactive, and detail‑driven Site Project Administrator to join their growing team in Manchester.

This key role offers the potential of hybrid working from the Salford site and from home, supporting Directors, Project Managers, Engineers and site teams to ensure smooth and efficient project delivery.

About the Role

As a Project Administrator, you will be the backbone of project support, managing documentation, maintaining accurate records, and ensuring seamless communication between office teams, site teams, subcontractors and clients.

You’ll play a crucial part in keeping projects moving, ensuring compliance is met, and that administrative processes are delivered to the highest standard.

Key Responsibilities

Project Administration & Support

  • Manage general administration across multiple projects including typing, filing, and maintaining accurate records.
  • Support Directors and Project Managers with daily paperwork and correspondence.
  • Provide on‑site secretarial and administrative assistance to Contracts and Site Managers.
  • Update labour returns, staff records, project logs, and other key documents.

Document Control & Compliance

  • Distribute drawings, plans, and technical documents to site teams and subcontractors.
  • Manage project documentation including purchase orders, tender packs, subcontract orders, and compliance paperwork.
  • Create and maintain Health & Safety files for project completion.
  • Prepare RAMS, O&M manuals, fire protection certificates, construction phase plans and other compliance documentation.
  • Ensure all documents are organised, up to date, and accessible.

Meetings & Coordination

  • Attend site meetings with subcontractors and clients.
  • Take clear and accurate minutes and distribute them promptly to relevant teams.
  • Liaise with clients, suppliers, contractors and internal teams regarding document submissions and approvals.

Community & Sustainability

  • Prepare Considerate Constructors documentation including newsletters and resident progress boards.
  • Manage Construct CO₂ system records and ensure sustainability data is accurate and up to date.
About You
  • Experience in project administration, document control or a similar administrative role.
  • Highly organised with strong multitasking abilities and the confidence to manage multiple projects.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office (Word, Excel, Outlook) with the ability to learn new systems quickly.
  • Proactive, detail‑oriented and able to work independently as well as collaboratively.
