Job summary

Job Purpose

To ensure efficient and accurate distribution of incoming and internal documentation, and to prepare and dispatch outbound print and mail in line with agreed processes. The role supports all print, copying, and finishing work within the Print and Post service, providing high-quality output, delivering excellent customer service, and maintaining confidentiality and compliance with organisational standards.

Job Description

Operate all print, reprographics, finishing, and mailing equipment to produce and dispatch a wide range of printed materials, including sensitive documentation, to agreed quality standards and service levels.

Liaise with clients to clarify job requirements, provide advice on print options, and ensure secure, GDPR‑compliant handling of all documents and mail.

Manage daily postal activities including sorting, distributing, collecting and dispatching inbound and outbound mail, using mailing systems and maintaining administrative records.

Support the Print and Post Manager with stock control, ordering, recharging, purchasing, courier arrangements and provision of data related to print, post and distribution operations.

Assist in training new staff, act as a first point of escalation for service delivery issues and maintain safe working practices including identifying and responding to suspect packages.

Essential Skills & Experience Needed
  • Basic working knowledge of print production, reprographics or mailroom operations.
  • Ability to use or learn print‑related software (e.g., Adobe, Planet Press).
  • Strong organisational skills with accuracy and attention to detail, especially when handling sensitive documents.
  • Good communication and customer service skills, with confidence advising clients and resolving enquiries.
  • Ability to follow set procedures, meet deadlines and work to SLAs.
  • Proactive, reliable and able to work independently using initiative.
  • Customer‑focused approach with a positive attitude.
  • Team‑oriented, flexible and able to work in a busy production environment.
