Job description

Provide a high quality administrative and secretarial service to the multi‑professional team, supporting, managing and monitoring day‑to‑day administration for the community service and monitoring service‑related activity data.

The Lambeth Living Well Centres serve a diverse population of over 1.1 million across the boroughs of Lambeth, Lewisham, Southwark and Croydon, offering national services for patients resistant to treatment. They provide treatment for 9,600 people, 5,600 of whom are on the Care Programme Approach, and operate 1900 staff in 74 teams with acute inpatient, PICU, rehabilitation and supported accommodation beds. The annual budget is £128.5 million.

Responsibilities
  • Responsible for the day‑to‑day administration within the community service.
  • Proficient with Microsoft Office applications for the clinical team, including booking appointments with consultants and care coordinators.
  • Deal sensitively with patients, their relatives and clinical staff, ensuring urgent matters are drawn to the attention of relevant staff quickly and accurately.
  • Responsible for recording, maintaining, updating and ensuring the accuracy of clinical activity and patient information pertaining to the service; ensure activity on the ePJS is accurate.
  • Process referrals accurately for the team.
  • Pull accurate data from ePJS and Deming as required for the team.
  • Be involved with induction and liaising with digital services to get new staff onto the system.
  • Maintain office systems, enabling the prompt retrieval of information.
  • Maintain ensure high levels of data collection and data quality for the service, achieving 100% accuracy in specific identified areas in line with Trust targets.
  • Support and work in close liaison with the multi‑professional team.
  • Take part in staff meetings and discussions as appropriate.
  • Have basic knowledge of digital services to assist colleagues with IT tasks.
  • Take minutes as required at various meetings and attend Teams morning handover meetings as required.
  • Support the service‑wide and local administrative cover arrangements.
  • Work on other sites as required.
  • Be responsible for booking interpreters and requesting vouchers as required.
  • Provide ad‑hoc administrative and project support.
  • Process e‑procurement requests when required.
  • Undertake tasks deemed necessary to the grade and the needs of the service.
