Overview

Security Process Improvement Coordinator – We are seeking a proactive and highly organised Security Process Improvement Coordinator to support our Security Team at South Kensington. This hands-on role is ideal for someone who thrives in a dynamic environment, can troubleshoot day-to-day issues, and is passionate about improving processes to enhance team efficiency and service delivery.

The successful candidate will act as a central coordination point for the team—resolving workflow challenges, managing operational processes, and identifying opportunities for improvement. This is a key role for someone who enjoys “firefighting” operational problems while driving smarter, more efficient ways of working.

Responsibilities
  • Operational Coordination: Manage and coordinate the daily activities of the Security Team, ensuring smooth operations and clear communication across all stakeholders.
  • Process Improvement: Review current administrative and operational practices; identify inefficiencies and implement streamlined processes that enhance productivity and service delivery.
  • System Management: Use and maintain systems such as Planon, Outlook, and shared mailboxes to manage workflows, calendars, and communications effectively.
  • Issue Resolution ("Firefighting"): Troubleshoot operational challenges as they arise—finding practical, sustainable solutions to improve workflow and reduce repetitive issues.
  • Access Control Management: Oversee the issuing and management of security passes and access cards, ensuring compliance with security policies and procedures.
  • Process Implementation: Work closely with management to introduce new procedures and ensure successful implementation ("parachuting in" to support process rollouts where needed).
  • Continuous Improvement: Champion a culture of continuous improvement within the team—encouraging feedback, innovation, and smarter working practices.
Skills and Experience
  • Strong working knowledge of Planon, Microsoft Outlook, and general IT tools (including managing shared mailboxes, forwarding rules, and calendars).
  • Proven experience in process improvement, workflow coordination, or operations administration (ideally within a facilities or security environment).
  • Excellent problem-solving and troubleshooting skills.
  • Ability to work independently and collaboratively in a fast-paced, onsite environment.
  • Exceptional organisational skills with keen attention to detail.
  • Strong communication skills, both written and verbal.
  • A proactive, “can-do” attitude and a commitment to continuous improvement.
Working Environment
  • Based onsite in South Kensington (SW7).
  • Working pattern: 5 days out of 7, including some weekend or evening coverage as required.
