Job description
School Office Manager – Middlesbrough

Location: Middlesbrough, free parking. Full‑time, whole year. Initial temporary contract with potential to become permanent. Salary £28,598–£30,024. Hours: Monday‑Friday 8:00am‑4:00pm or 8:30am‑4:30pm. Start date: ASAP. Reporting to: Senior Leadership Team.

We’re seeking a confident, organised, and proactive individual to lead the front office of a thriving school in the Middlesbrough area. This is a fantastic opportunity to make a real impact within a welcoming and supportive educational environment. Due to urgency of this role you must be available immediately.

Key Responsibilities
  • Lead the day‑to‑day running of the school office and reception.
  • Manage admissions, attendance, pupil records, and family communications.
  • Oversee HR administration including recruitment, onboarding, DBS checks, and compliance.
  • Handle finance tasks such as invoices, petty cash, trip payments, and reconciliations.
  • Maintain MIS systems (Arbor, Every) and the Single Central Record.
  • Support the SLT with reports, correspondence, and event coordination.
  • Ensure GDPR, safeguarding, and health & safety compliance.
  • Supervise and develop admin staff, including training and mentoring.
  • Support with EHCPs, SEND funding, and alternative provision placements.
  • Coordinate service contracts, licences, insurance, and facilities management.
  • Lead on census submissions, policy compliance, and data reporting.
  • Provide guidance on admin systems and school events (e.g. parent evenings).
  • Monitor office expenditure and ensure adequate resources are available.
  • Record and manage staff contracts, attendance, absence, and CPD.
  • Support procurement, sponsorship, and funding opportunities.
  • Contribute to facilities management, lettings and income tracking.
  • Support budget planning, monitoring and evaluation.
  • Foster strong relationships with staff, families, governors and external agencies.
  • Ensure a welcoming and professional reception for all visitors.
Essential Qualifications
  • Strong background in administration or office management (education experience preferred).
  • Excellent organisational and communication skills.
  • Proficient in Microsoft Office and confident using digital systems.
  • Calm, professional and discreet under pressure.
  • Immediately available or available at short notice (Enhanced DBS required).
Desirable Qualifications
  • Experience within a school or multi‑site organisation.
  • Familiarity with MIS systems such as Arbor or SIMS.
  • Supervisory or team leadership experience.
  • Understanding of school compliance, HR or finance processes.
