Qualifications

  • Excellent communication skills - written and verbal.
  • Intermediate computer skills in MS Office - e.g. Word, Excel.
  • Prior knowledge in utilizing CMMS applications.
  • Good understanding of reactive and planned maintenance works.
  • Competent relationship building and influencing capabilities.
  • Exceptional attention to detail and ability to prioritize.
  • Ability to deliver exceptional customer service.
  • Previous experience with Third Party Vendors advantageous.

Job description

Do you have strong customer service, administration, organisational & people skills and looking to thrive within a new challenge?

In this role you can use your skills to work collaboratively, between departments, successfully planning and scheduling.

This position will see you planning and scheduling for Planned Preventative Maintenance (PPM) and Reactive Maintenance (RM) for Technical Maintenance and Planned and Reactive work for Soft Services.

Working with Accounts and Vendors, you'll facilitate the efficient delivery and coordination of each work order from the point that it's generated to closure, ensuring the correct processes are used to support and add value to the service.

Main Responsibilities
  • Proactively manage all types of work order from generation to closure.
  • Build and develop strong relationships with key stakeholders.
  • Adhere to the agreed processes for work order management, managing Quotations, raising Purchase Orders and Health and Safety etc.
  • Ask the right questions for each call, to log the correct information, correctly to each targeted query.
  • Use the various FM and Finance systems deployed to support work delivery and reporting.
  • Ensure all work order information is accurately recorded in the required system for work completed by Site Delivery Teams and Third Party Suppliers, escalating any non-compliance which represents a risk to the appropriate people.
  • Monitor performance of contractual KPIs and SLAs, highlighting any risk of failure throughout the month to the Account Team.
  • Take a proactive approach using the business processes in place to manage work orders through to closure, managing risk, adding value to key stakeholders, and taking responsibility.
  • Respond in a timely manner and in line with stakeholder expectations/agreements to questions and requests.

The Ideal Candidate
  • Excellent communication skills - written and verbal.

  • Have prior knowledge and skills in utilizing CMMS applications - especially work planning and scheduling functionalities.
  • Have a good understanding of reactive and planned maintenance works, to enable planning of works within SLAs (Service Level Agreements) / KPIs (Key Performance Indicators).
  • Competent in relationship building and influencing capabilities.
  • Exceptional attention to detail with the ability to prioritize and execute a diverse workload in a high-pressure environment.
  • Have the ability to deliver exceptional customer service (internal and external).
  • Have previous experience in working with Third Party Vendors would also be advantageous.
