About Us

The RTR Group is a growing electrical and multi-trade maintenance company committed to delivering high-quality services to our clients. With a strong focus on customer care and operational excellence, we are introducing a dedicated Scheduler / Planner to strengthen our team and enhance service delivery.

The Role

This position expands on the traditional Maintenance Coordinator role, with a specific focus on scheduling and resource management for electrical and multi-trade engineers. You will act as the vital link between clients, engineers, and the office team, ensuring smooth workflows, efficient use of resources, and a consistently high standard of service.

Key Responsibilities
  • Plan, coordinate, and manage daily and weekly engineer schedules across multiple trades.
  • Allocate jobs effectively using company platforms, matching the right engineer to each task.
  • Create and manage new job records, ensuring all details are accurate and up to date.
  • Monitor job progress, ensuring all work meets service level agreements (SLAs).
  • Liaise with clients, tenants, landlords, and subcontractors to arrange access and provide updates.
  • Escalate scheduling issues, resource shortages, or delays to management, proposing solutions.
  • Coordinate delivery of materials for scheduled works.
  • Support the preparation of client quotes through accurate data collection and tracking.
  • Handle quoting, bidding, and job tracking, maintaining accurate records.
  • Participate in regular team meetings to review and improve service delivery and efficiency.
  • Provide out-of-hours support on a rota basis (including weekends).
  • Assist with general administrative and office duties as required.
About You
  • Proven experience in planning, scheduling, or coordinating within a maintenance, facilities, or engineering environment.
  • Strong organisational and time management skills, with the ability to handle multiple priorities in a fast-paced environment.
  • Excellent communication and interpersonal skills to build effective relationships with clients, engineers, and colleagues.
  • Confident using Microsoft Office (Excel, Word, Outlook) and scheduling or CRM software.
  • Able to work independently, using initiative to resolve challenges quickly.
  • Calm under pressure, adaptable, and proactive in finding solutions.
  • Passionate about continuous improvement and delivering excellent customer service.
