Job description
Role Overview

The post holder will act as the first-line contact and departmental liaison with Clinical Engineering and related stakeholders, providing expert support in the acquisition, management, and oversight of medical equipment. They will lead on capital equipment procurement and prepare business cases to support rolling replacement programmes, with a focus on maintaining the Capital Asset Register and ensuring equipment upkeep within designated areas. As the primary contact for multidisciplinary teams regarding equipment queries, they will also manage interactions with external company representatives entering the department. Responsibilities include coordinating the hiring, repair, and operational control of all equipment and materials, and implementing GS1 coding for full asset traceability. The role involves using the Federated Data Platform (FDP) for managing loan kits and scheduling planned clinical cases. A sound understanding of peri-operative and medical/surgical environments is preferred, alongside experience in clinical settings. The post holder will work closely with Unit Directors, Team Leaders, and managers in Procurement and Materials Management, and may attend theatre equipment and procurement meetings. Participation in the Clinical Effectiveness Group is expected to support governance and continuous improvement.

Medical Equipment Coordinator Responsibilities

The Medical Equipment Coordinator oversees the acquisition, maintenance, and operational control of medical equipment across departments, ensuring functionality, safety, and compliance with clinical needs. Working closely with Clinical Engineering, they manage the Capital Asset Register, coordinate decommissioning of obsolete equipment, and maintain accurate asset records. They support the Equipment Replacement Programme by identifying assets for capitalisation and contributing to funding business cases using risk register data. Procurement duties include processing orders, obtaining quotations, and liaising with suppliers to ensure timely delivery aligned with strategy and budget. The coordinator uses the Federated Data Platform (FDP) to manage loan kits and schedule clinical cases, while maintaining databases to track servicing, maintenance, and lifecycle data. They organise equipment trials, gather feedback from clinical staff, and assess suitability. As the first-line contact for training, they ensure staff are equipped to use equipment safely. Medical alerts are prioritised and communicated promptly. The role supports sustainability goals and contributes to audits and inspections, including CQC readiness, ensuring regulatory compliance and strategic alignment.
