Role:
The Sales Reporting and Governance Specialist provides reporting, governance, data stewardship and administrative support to the Sales Department, ensuring that management information, dealer oversight records, quality assurance activities, system administration and departmental controls are maintained accurately, consistently and on time.

The role supports Sales management through the production of weekly, monthly and ad hoc reporting across sales performance, finance penetration, campaign activity, dealer performance, oversight activity and key business KPIs. It is also responsible for maintaining governance documentation, including committee packs, meeting minutes, action logs and audit-ready records.

Working closely with Sales management, Area Operations Managers and support functions, the role helps ensure reporting deadlines are met, stakeholder requirements are understood, actions are progressed, and governance controls remain effective.

The position also supports data stewardship activities by maintaining reporting logic and business definitions, preparing changes for Data Owner review, and identifying potential downstream impacts. Through the delivery of accurate reporting, quality assurance support and effective oversight tracking, the role contributes to good customer outcomes and ensures governance issues, trends and actions are appropriately escalated and managed.

Main Responsibilities:
Reporting, Management Information and Performance Insight

  • Prepare weekly, monthly and ad hoc Sales reporting covering volume, finance penetration, order pace, dealer performance, campaign activity and agreed departmental KPIs.
  • Coordinate monthly reporting submissions, uploads, dashboards and management information packs in line with business deadlines, including Used Sale, Lost Business, Key2Key (K2K), CER, training, FCA/ICO (Financial Conduct Authority/Information Commissioner’s Office) and management reporting activity.
  • Coordinate reporting inputs from Area Operations Managers and relevant internal stakeholders, following up missing inputs and ensuring outputs are delivered to agreed standards.
  • Assist with forecasting inputs, change cycle analysis, market opportunity analysis, digital journey reporting, customer engagement reporting, wholesale stock reporting and network credit line reporting where required.

Data Governance Support

  • Check source data, apply approved business definitions, identify anomalies or gaps and elevate trends or issues requiring management attention.
  • Prepare reporting changes for Data Owner review, highlighting known downstream impacts and keeping key reporting logic aligned with agreed usage.
  • Maintain light-touch documentation for reporting definitions, source data, key calculations, business logic and agreed change control decisions.

Governance, Oversight and Quality Assurance

  • Maintain Dealer Oversight Committee presentations, packs, minutes, action logs and supporting evidence.
  • Support Dealer Oversight activity including Customer Experience Reviews, oversight reviews, data preparation, audit evidence, complaint reporting support, website audits and site audit records where required.
  • Maintain quality assurance trackers, monitor findings and follow-up activity, and provide reporting on themes, trends, recurring issues and agreed control activity.
  • Support audit, compliance and governance reviews by gathering evidence, maintaining accurate records and ensuring agreed actions are followed through.

Systems, Portals and Access Administration

  • Administer Sales Department Viewpoint activity including development plans, action plan setup, visit planning support, action monitoring and escalation of overdue items.
  • Administer network staff system changes, including the online dealer training portal, finance banking system, CRM and e-learning platform access setup, amendment and removal of dealer staff access, plus periodic review, monitoring and reporting of training completion and expiry dates.
  • Maintain Sales SharePoint sites, governance repositories, departmental trackers and evidence libraries so records are accessible, accurate and audit-ready.
  • Support reporting software maintenance, dashboard checks, reporting updates, trend monitoring and incident control, including SNOW or JIRA ticket raising and monitoring where required.

Sales Governance, Planning and Continuous Improvement

  • Support Sales governance activity including National Sales Meeting (NSM) preparation, improvement planning, appraisal inputs, working groups and network change administration.
  • Assist with process improvement activity by helping identify practical reporting, data, control and administration enhancements that reduce rework and improve consistency.
  • Act with integrity, confidentiality and care when handling management information, governance records, system access data and business-sensitive reporting outputs.

Qualifications, skills and experience:
Required

  • Strong Excel and PowerPoint skills, with the ability to prepare clear reports, dashboards, presentations and meeting packs.
  • Experience using reporting software to build, maintain or interpret reports and dashboards, ideally including MicroStrategy and Power BI.
  • Ability to work with data definitions, reporting logic, source data and change control requirements consistently and accurately.
  • Strong organisational skills with the ability to prioritise multiple tasks, recurring deadlines and stakeholder requests.
  • Excellent attention to detail and confidence validating information from multiple sources, identifying anomalies and escalating issues appropriately.
  • Experience maintaining action trackers, meeting minutes, governance records, audit evidence or other departmental control documentation.
  • Clear written and verbal communication skills, with confidence following up actions and updates across teams.
  • Ability to handle confidential information accurately and professionally.
  • Self-motivated, proactive and comfortable working independently within agreed priorities and escalation routes.
  • Experience of CALMS, Key2Key (K2K), Viewpoint, SharePoint, MicroStrategy, Power BI, JIRA, SNOW or similar business systems.
  • Experience working within Sales Operations, financial services, automotive finance or a regulated environment.
  • Understanding of data governance, data stewardship, governance, quality assurance, audit evidence, action management or first line control activity.
  • Experience supporting Dealer Oversight, customer experience reviews, website audits, site audits or complaint handling reporting.
