Sales & Marketing Coordinator – Dermatology & Respiratory

Location: Reading, UK

About the job

This position works with the Team focusing on increased productivity, compliance, tracking against goals and project management. This is an integral part of the team within the Franchise providing high quality support and coordination.

Main Responsibilities
  • Liaise and coordinate with external agencies as appropriate to meet Brand Team requirements. Coordinate agency feedback.
  • Support Brand Team with briefing docs.
  • Participation in monthly finance meetings assisting Brand Leads to keep track of budget.
  • First point of contact for general enquiries from both internal and external contacts.
  • Material and PromoMats management logistics: warehouse materials, approval of PromoMats jobs.
  • Support to Field force team.
  • CPG logistics and material management to ensure teams have access to materials.
  • Support with set up of briefing calls and regional sales meetings.
  • Logistic support for field based sales teams.
  • Records Management – Maintain the departments filing system in line with the records retention policy.
  • Update and maintain relevant information on Sharepoint.
Projects/Event Management
  • Organisation of Meetings (eg Marketing Meetings, PromoMats Review Meetings) – collate objectives and circulate pre-work as necessary.
  • Recording of actions & decisions and following up within the agreed timeline.
  • Managing meeting logistics for internal meetings.
  • Manage events agency and liaise with internal stakeholders to ensure successful event delivery of meetings.
  • Events/Congress management in conjunction with the Speaker Meetings and Congress Project Manager.
  • Provide project management – supporting the department with ongoing projects.
4M PromoMats Review
  • Manage job bag process for marketing materials and Speaker Slides including originating and uploading.
  • Coordinate and monitor process of materials re-approval within specified timelines.
  • Organise hard copy reviews of printed materials.
  • Manage filing and archiving process as required in line with retention and destruction SOP.
Materials Management
  • Act as main point of contact between logistics agency and Sanofi on issues and actions required for materials.
  • Action orders, returns and withdrawals.
  • Manage congress and exhibition materials management in conjunction with the Speaker Meetings and Congress Project Manager.
  • Management of monthly inventory report.
Finance & Procurement P2P
  • Generating PO's as requested and approving orders up to £1k when required.
  • SuperUser for systems – Ebuy, Concur, Sharepoint, Easy invoice.
ABPI Code L3 Responsibilities
  • Raise iDisclose and E&C360 requests and management of request close out.
  • Management of contracts and payments for transfers of value.
  • Upload PromoMats job bags for brand teams.
  • Speaker meetings.
  • E&C360 Champion.
General

A member of the PA team, sharing best practice and networking. Maintains and role-models compliant behaviour around internal policies (travel, accommodation, financial approvals, expenses etc) ensuring compliance with relevant policies and SOPs.
