Job summary

Rubix UKII is seeking a proactive Operations Administrator to generate quotations, process orders and manage stock. You will ensure on-time delivery by monitoring back orders and supporting the team with stock and supplier coordination.

Ideal candidates have experience in inventory or procurement, are proficient with Excel and ERP systems, and value accuracy and problem solving in a fast-paced, on-site environment.

Qualifications

• Proven experience in a customer-facing operational or administrative role.
• Familiarity with inventory management systems.
• Basic understanding of procurement and supply chain principles.
• Experience with ERP systems and Excel.

Responsibilities

• Generate and follow up on customer quotations.
• Process customer orders accurately and efficiently.
• Monitor and manage back orders to ensure on-time, in-full delivery.
• Support the operational team by converting spare parts and consolidating customer supply chains to Rubix.
• Receive and manage daily deliveries, ensuring customers receive their orders.
• Maintain stock levels to support team functionality.
• Manual Handling of stocked products, replenishing satellite store locations.

About The Role

• Generate and follow up on customer quotations

Key Skills, Experience & Requirements

• Proven experience in a customer-facing operational or administrative role
• Ideally, you’ll have some background in manufacturing, MRO, PPE, or a trade counter environment.
• Familiarity with inventory management systems and processes
• Basic understanding of procurement and supply chain principles
• Competence in using Microsoft Office Suite, particularly Excel, and ERP systems
