Job summary

A leading healthcare provider is seeking a Research & Development Administrator to ensure the smooth operation of the R&D Office. The successful candidate will manage daily administration tasks, support recruitment processes, and provide secretarial assistance to R&D Directors and Senior Managers. Applicants should have a GCSE in English or equivalent, experience in administration, and advanced MS Office skills. This full-time role offers a salary ranging from £33,094 to £36,195 per annum, with a fixed-term contract of 2 years.

Job description
Research & Development Administrator – Band 4

Full‑time, 37.5 hours per week. The Research & Development Administrator ensures the R&D Office operates efficiently, delivers key research governance functions, supports the team administratively and coordinates improvement projects and initiatives.

Responsibilities
  • Act as the first point of contact for researchers and colleagues requesting R&D Office support.
  • Manage the day‑to‑day administration of the R&D Office, including diary management, room bookings and keeping the office tidy.
  • Provide secretarial support to R&D Directors and Senior Managers, arranging meetings, compiling agendas, taking minutes and following up actions.
  • Co‑ordinate the procurement of goods and services for the office, using Oracle and the Trust procurement system to request purchase orders and processing invoices.
  • Support recruitment processes for research posts, including completing LPC and A2E requests, handling contractual changes and advertising on TRAC.
  • Assist with updates to study information on the EDGE database and support the R&D Data Officer with document uploads and participant recruitment.
  • Coordinate R&D events such as the International Clinical Trials Day and the Research Strategy Day.
  • Maintain the eRoster system for R&D staff, reporting sickness, annual leave approvals and finalisations.
  • Provide general administrative support for communications materials, liaising with Communications for website and Kwiki updates.
  • Facilitate varied R&D improvement initiatives and other duties as requested by R&D Directors and Senior Managers.
Qualifications & Requirements
  • GCSE A–C in English or equivalent, plus evidence of professional development (e.g., courses in administration or project management).
  • Experience in an administration, coordinator or office management role.
  • Advanced MS Office skills, proficient email use and internet browsing; advanced keyboard use.
  • Excellent written and verbal communication, telephone etiquette, tact, diplomacy and team working.
  • Ability to work under pressure, prioritise tasks, manage own time and coordinate projects to deadlines.
  • Experience of pastoral support in an uncomplicated setting (e.g., office staff management) is desirable.
  • Prior experience as a Personal Assistant or in the NHS or higher education setting is desirable.
