Job summary

Key Responsibilities

The Reprographics Technician contributes to the delivery of a reliable, high-quality and efficient in-house print and production service for the School. As part of the IT Department, the reprographics and print function supports teaching, learning, administration, events and the wider life of the School through the timely production of printed materials. Working under the direction of the Reprographics Manager, the role is involved in producing a wide range of high-quality items including booklets, teaching resources, programmes for School productions and plays, posters, handouts, event collateral, exam-related materials and other professionally finished printed work.

The role provides additional capacity within this core service and offers the opportunity to develop practical competence in print production, finishing, customer service, equipment use, basic file preparation, materials selection and quality assurance. During the first 12 months, the postholder will be supported to build their confidence and independence through supervised workplace experience, practical guidance and day-to-day involvement in reprographics work. This is a new role, with the opportunity for the postholder to make the position their own. It may be of benefit to someone who is practically minded, keen to learn and interested in developing hands-on production skills while contributing to a valued service at a leading independent school in the heart of London. As a member of a supportive and collaborative IT Department, there will also be opportunities to lend assistance to wider IT activity and gain exposure to larger projects, such as annual device rollouts, alongside the core reprographics responsibilities.

The role is required to be on site, primarily based at Westminster Great School, with responsibilities covering reprographics and print support across both Great School and the Under School.

Print Production and Workflow Management

• Contribute to the reprographics workflow, including job intake, preparation, production, finishing and quality checks

• Carry out minor layout or file preparation tasks where required to help ensure files are print-ready and suitable for high-quality output

Operation and Maintenance of Print Equipment

• Operate digital production printers, multifunction devices (MFDs) and professional finishing equipment used for cutting, binding, folding, perforating, drilling and booklet production
• Set up, adjust and safely operate finishing machinery following appropriate guidance and training
• Carry out routine checks, first-line troubleshooting and basic preventative maintenance on reprographics and finishing equipment
• Report faults or equipment issues promptly and support maintenance visits where required
• Monitor output quality, consumables usage and basic equipment performance, escalating issues where appropriate

Stock, Consumables and Service Support

• Assist with maintaining stock levels of paper, media, binding, laminating materials and other consumables
• Monitor usage and highlight when supplies need to be reordered to support continuity of service
• Support the coordination, organisation and distribution of toner and other printer consumables across the School, helping to maintain appropriate stock levels and ensure print services remain available where needed
• Support the Reprographics Manager and IT Operations Manager with supplier, service provider and maintenance-related activity where required
• Carry out practical tasks linked to procurement, stock management or cost-efficiency initiatives related to print operations
• Where appropriate, gain exposure to wider IT Operations activity, particularly where this relates to print services, MFDs, equipment support, supplier coordination, stock control, device preparation or practical support for larger IT projects

Training, Guidance and Customer Support

• Provide routine guidance and practical advice to teachers and support staff on using MFDs and other print equipment safely and effectively, and on how best to achieve the print, production or finishing outcomes they require, escalating complex queries where needed
• Communicate clearly with staff regarding job requirements, timelines and progress
• Maintain high customer service standards, responding promptly and professionally to requests and queries
• Identify practical opportunities to improve quality, efficiency or sustainability within the reprographics service

Systems, Equipment and Materials

Digital production printers, multifunction devices, finishing equipment, paper stock, consumables and associated publishing or workflow tools used within the reprographics service

Working hours

This is a full-time role of 35 working hours per week, plus a one-hour unpaid lunch break each day. During term-time, the standard working pattern for the Reprographics Technician is 09:00 to 17:00 on weekdays and 08:30 to 13:30 on approximately 20 teaching Saturdays per year. In weeks when Saturday working takes place, the remaining hours are completed across four weekdays, at 7.5 hours per day, with the non-working weekday agreed in advance with the Reprographics Manager. When Saturday working is not required, including during school holidays, the standard working pattern is 09:00 to 17:00 across five weekdays, comprising 7 working hours per day, unless otherwise agreed with the Reprographics Manager. Start and finish times may be varied by agreement with the Reprographics Manager where this supports service requirements.
