Job Title: Remote Assistant Project Coordinator (100% Work From Home)

Location: Remote from Latin America

Position Type: Full-time

Salary: $1,200 - 1,700 USD/month

Schedule: Monday – Friday, 7:30 AM to 4:30 PM Pacific Time (2 paid 10 minute breaks daily; 1 hour unpaid lunch daily)

Job Overview

Our client is a fast-growing residential construction company. They operate with a lean, motivated team, supported by field crew and operations. With major expansion expected in early 2026, they are hiring a Assistant Project Coordinator to directly support our in-person staff. This role is essential to keeping projects moving and ensuring our team stays focused on field operations—not admin work.

We are seeking a highly organized, bilingual Assistant Project Coordinator to support their project managers and superintendents with critical administrative and communication tasks.

You will be responsible for handling frequent inbound calls, following up with city departments, subcontractors, and utility companies, scheduling inspections, updating project timelines, and ensuring all administrative details stay on track. This role requires someone who is fluent in English and Spanish, extremely detail-oriented, proactive, confident, and able to manage a high volume of tasks without supervision.

The ideal candidate is reliable, thrives in a fast-paced environment, has experience working remotely, and is comfortable working in PST. You must provide your own computer, internet, and workspace. They will supply a company phone number through RingCentral for calls. This position plays a crucial role in keeping our construction projects moving forward and supporting their small but high-performing team. Strong communication, consistency, and accountability are essential to success in this role.

Responsibilities
Project Coordination
  • City & Permitting: Follow up with city departments on permits, plan reviews, corrections, approvals, and inspection availability. Track all timelines and notify the team of required actions or delays.
  • Subcontractor Coordination: Follow up on schedules, delays, deliverables, and missing documents. Ensure subcontractors stay aligned with project timelines.
  • Utility Coordination: Communicate with utility companies regarding service connections, meter upgrades, timelines, and requirements.
  • Inspection Management: Schedule city inspections, coordinate with field staff, confirm site readiness, and track results.
  • Project Timeline Updates: Maintain updated project schedules, milestones, and deadlines. Identify bottlenecks early and accelerate issues quickly.
  • Budget Support: Assist with budget updates, expense tracking, and vendor costs (training provided).
  • Task Tracking: Maintain organized follow-up lists and ensure every open task is completed. Proactively communicate updates.
Administrative & Communication Support
  • Phone & Communication: Answer frequent inbound calls immediately and return missed calls promptly. Communicate professionally with cities, subs, utilities, and internal staff.
  • Documentation Management: Maintain organized digital project files—plans, permits, inspection results, contracts, proposals, and logs.
  • Reporting: Prepare weekly project update reports and provide daily status updates to project managers on high-priority items.
  • Data & Log Maintenance: Manage spreadsheets, logs, trackers, and follow-up sheets with accuracy and consistency.
  • Cross-Team Coordination: Ensure timely and clear information flows between project managers, superintendents, field staff, subcontractors, and city contacts.
