Job summary

A leading healthcare company in the UK is looking for a member support administrator to manage the Alphega Pharmacy Member Support Desk. The candidate will be responsible for queries from members, process member orders, and provide administrative support to the pharmacy team. Ideal applicants should hold an A level or equivalent and have experience in the pharmacy sector. This role is a maternity cover position and is offered on a full-time, fixed-term basis.

  • Previous experience in administrative roles or customer support is preferred.
  • Proven database management experience.

This role is in support of Cencora's wholesale distribution services in Europe operating through our Alliance Healthcare business. The purpose of this role is to oversee the management of the Alphega Pharmacy Member Support Desk, serving as the primary point of contact for current and prospective members while ensuring that all inquiries and issues are resolved efficiently. Additionally, the role aims to provide comprehensive administrative, procedural, and digital support to both the Alphega Pharmacy UK head office and field teams, contributing to the smooth operation of the organization.

Responsibilities

Alphega Pharmacy Member Support Desk

  • Be the first point of contact for current and potential members, dealing with ad hoc queries in a timely manner through liaising with internal Alliance Healthcare departments and the Alphega UK team.
  • Ensure that all member queries (telephone and email) are actioned and followed through.
  • Process new members, ensuring that welcome letters, starter packs, web log‑ins are sent out on time, accurate, and Alphega pricing is set up.
  • Inform internal and external stakeholders / service providers as appropriate.
  • Process ongoing member requests for new/replacement services and equipment (e.g., uniforms, badges, dispensing bags, branding, missing promotional packs).
  • Process member orders for offer elements through the creation of online order forms (e.g., Branding, Planograms, Flu PGDs, Travel Clinic and Practice Leaflets) and manage them through to delivery.

Alphega Pharmacy Reporting

  • Ensure member details are up to date and accurate at all times by liaising with Alphega Business Mentors, Alliance Healthcare Sales teams and external service providers.
  • Maintain and track the PO tracker.
  • Ensure all supplier invoices are correctly matched to POs, assigned to the correct code and added to the invoice batch sheet.
  • Chase up outstanding POs with budget holders and invoices with suppliers.
  • Create quarterly Mystery Shopper group reports and call list.
  • Raise and submit member credit requests to finance.
  • Monthly update the Member Master list with member benefit uptake.

Alphega Pharmacy Administration

  • Provide administrative support for Alphega Pharmacy support office and field teams.
  • Support Head of Field Operations as required.
  • Maintain Health & Safety Records and ensure that Work Station Assessment forms are completed for all team members.
  • Order stationery and business cards as required.
  • Provide administrative support to the Alphega digital team for the administration of the Alphega Learning Management System, Tablet, B2C App, member microsites and Member Hub; including pharmacy locator maintenance, Member Hub updates and maintenance, and monthly uploads (including SOPs, digiPOS, planograms).
  • Assist in the organisation of Alphega team meetings, Welcome to Alphega Days and Advisory Board events.
  • Provide support in the production of member engagement collateral.
  • Maintain Alphega team GDP tracker.
  • Manage the EPoS and PMR tracker, including liaising with PSL, raising agreements and reporting.
  • Support the digital team to onboard new members to the Alphega app.
Requirements
  • Educated to A level or equivalent standard.
  • Knowledge of Health & Beauty and/or Independent Pharmacy retail sector.
  • Worked within a Pharmacy or symbol group.
  • Previous experience in administrative roles or customer support is preferred.
  • Proven database management experience (Access).
  • IT literate (Word, Excel, PowerPoint).
  • Proven verbal, written and numerical accuracy.
  • Excellent telephone manner.
  • Excellent influencing skills.
  • Understand the principles of Good Distribution Practice of Medicinal Products for Human Use (2013/C 343/01) reflected in our SOP – REF Chapter 1 AHDL GDP 1.1.
  • Excellent time management and ability to handle multiple tasks simultaneously.
  • Attention to detail.
  • Ability to resolve ad‑hoc queries.

This role is a maternity cover position and will be offered on a fixed‑term basis.
