Job summary

CVS Vets is seeking a Referral Receptionist to join our Bristol-based practice and help keep pets first. This role supports a busy veterinary front desk, handling calls, bookings and client queries with warmth and professionalism, while assisting with insurance and payments as part of everyday care.

Based at Bristol Vet Specialists, the position offers 24 hours per week with a pattern of Monday and Friday, plus occasional Sundays.

Qualifications

  • Previous experience as a Receptionist or in a demanding, client-focused role.
  • Resilience and the ability to handle emotional situations with kindness and professionalism.
  • Strong communication skills with genuine empathy.
  • Outstanding customer service skills and experience with the public.
  • Positive attitude and superior teamwork abilities.
  • Proficiency in Microsoft Office and database systems.

Responsibilities

  • Handle incoming calls and schedule appointments efficiently.
  • Respond to queries via phone, email, and in-person interactions with professionalism.
  • Greet and register new clients, ensuring a warm welcome.
  • Process and manage insurance forms adeptly.
  • Process payments accurately and efficiently.
  • Provide empathy and understanding to clients during distressing times, while maintaining professionalism.
  • Organise patients using the in-house system efficiently.
  • Liaise with referring veterinary practices to address practice and patient needs.
  • Make necessary phone calls regarding debts, belongings, and refunds.
  • Above all, ensure that every client feels welcomed and valued at our practice.

Role Details:

Location: Unit 10, More Plus Central Park, Madison Way, Severn Beach, Bristol, BS35 4ER

Contract: Permanent

Hours: 24 hours per week

Shift Pattern: Typically Monday and Friday cover and an occasional Sunday. Including the flexibility to pick up extra hours to cover absence and holiday

About the Role:
  • Manage Communication: Handle incoming calls and schedule appointments efficiently
  • Inquiries Resolution: Respond to queries via phone, email, and in-person interactions with professionalism

  • Insurance Management: Process and manage insurance forms adeptly
  • Financial Transactions: Process payments accurately and efficiently

  • System Utilisation: Organise patients using the in-house system efficiently
  • Inter-practice Communication: Liaise with referring veterinary practices to address practiceand patient needs
  • Debt and Refund Management: Make necessary phone calls regarding debts, belongings, and refunds
  • Client Care: Above all, ensure that every client feels welcomed and valued at our practice
Who We're Looking For:
  • Previous experience as a Receptionist or in a demanding, client-focused role is a must; experience in a veterinary setting is a bonus!
  • Resilience and the ability to handle emotional situations with kindness and professionalism
  • Strong communication skills paired with genuine empathy
