The successful candidate will handle patient enquiries, provide clerical support, and ensure confidentiality of patient information. Candidates should have GCSEs in English and Maths, as well as strong communication and administrative skills. Previous NHS experience is desirable. This position offers a flexible work schedule, primarily Monday to Friday.

Job Summary

We are looking for a part‑time Receptionist to join our Women’s Health Unit at The Alexandra Hospital, Redditch. This 17‑hour post is worked Monday to Friday (with occasional Saturdays) and is only open to Herefordshire and Worcestershire NHS staff (including PCN/GP Practices). About the Team

We provide a high quality ambulatory gynaecology service across Worcestershire, offering diagnostics and treatments such as outpatient hysteroscopy, cystoscopy, colposcopy, minor procedures and diagnostic ultrasound scanning. Our cheerful nursing team works closely with medics to deliver excellent care.

Key Duties
  • Provide a welcoming reception service, handling initial enquiries and taking accurate registration details from patients, visitors and professionals.
  • Aid patients and visitors in resolving any queries.
  • Liaise with patients, relatives and the public politely and efficiently, ensuring confidentiality and security of patient information in line with Trust policy and Information Governance guidance.
  • Provide administrative and clerical support to clinical and nursing staff.
  • Ensure accurate patient records and documentation as per Trust policies.
  • Handle telephone calls, record messages and respond to initial enquiries, making calls on behalf of the nursing/medical team as directed.
  • Assist with patient admission and discharge using manual and computerised systems.
  • Prepare documentation for planned clinics and maintain orderly filing systems.
  • Arrange transport, assist with housekeeping duties and support coordination within the department.
  • Provide relief cover within the Directorate and undertake duties within the scope of ward clerk/clerical team assistant role.
  • Arrange follow‑up appointments, maintain case notes and facilitate data collection from the clinical coding department.
  • Assist junior doctors with administrative tasks and general clerical support.
  • Manage stock and equipment ordering, stationery orders and personnel administration.
  • Assist in booking bank and agency staff under supervision of the Ward Manager.
General Duties
  • Maintain confidentiality of all patient information and Trust business.
  • Comply with all Trust Policies and Procedures.
  • Take reasonable care for your own health and safety and that of others, in accordance with the Trust’s Health and Safety Policy.
  • Cooperate with staff in statutory compliance and workplace monitoring.
  • Report accidents, incidents and complaints as per risk management and Trust policy.
  • Create and maintain positive relationships with colleagues and other staff.
  • Act professionally to promote a good image of the ward/department.
  • Respond appropriately to clinical emergencies as directed by the nurse in charge.
  • Participate in initiatives to improve the quality of service to patients.
Essential Qualifications
  • Educated to GCSE Grade C, including English and Maths or equivalent.
  • Knowledge of administration and/or office procedures.
  • Proficient keyboard skills.
  • Computer literate – able to navigate MS Office, Outlook, the internet and databases.
  • Ability to work effectively in a team, prioritise workload and work without direct supervision.
  • Willingness to undertake personal development.
  • Ability to move equipment within health and safety guidelines.
  • Awareness of health and safety issues in a clinic environment.
Desirable Qualifications
  • NVQ3 or equivalent qualification in a relevant subject.
  • Previous NHS experience in a similar role.
  • Experience using Trust IT systems.
