Overview

We are looking for a receptionist to join us in Cardiology. Our reception team are often the first staff members the patient meets upon arriving in the department. A warm and friendly approach with good communication skills is a key requirement to support patients arriving for admissions and clinic appointments. If this sounds like you and you have good clerical and keyboard skills, we invite you to join our friendly reception and clerical team.

The administration and reception team provide vital support to our patients and clinical staff by completing clerical tasks and using hospital systems to update patient records. Working in a team environment, you will need flexibility in your working pattern to cover a range of daytime shifts.

**UHD** is investing, developing and transforming Trust services in line with the New Hospital Programme. Some services may move site this year or next, either temporarily or permanently. Recruiting Managers can answer any service‑specific questions at interview. Cardiology services are across Bournemouth and Poole sites. This role is predominantly based at Bournemouth but may require covering the Poole site for sickness or vacancies. If a role moves, excess mileage will not be reimbursed. Travel from home to the new site will be classed as a normal commute. All other changes will be managed under Trust or national terms and conditions.

Key Responsibilities
  • Provide an efficient and effective admissions service to all patients attending the department and adhere to all policies and procedures applicable to the service.
  • Deliver excellent communication skills to deal with patients and colleagues confidentially and sensitively.
  • Perform general reception duties such as greeting patients, checking them in and handling telephone enquiries.
  • Assist with a range of cardiac bookings, cover the reception desk and carry out general administration duties.
  • Book relevant patient transport and arrange clinic preparation (notes/requests), including tracking, collecting and returning medical notes.
  • Schedule appointments for investigations on the TOMCAT system and scan request forms as required.
  • Respond to telephone calls and enquiries from patients, wards and medical staff efficiently and courteously.
  • Deal promptly with incoming correspondence and ensure referrals are viewed by consultants as necessary.
  • Send out appointment letters ensuring correct information is enclosed.
  • Assist with other duties within the office and department as required.
  • Provide cover for colleagues within the Cardiac Bookings team when on annual leave or during periods of staff absence.
  • Offer flexibility to work across UHD sites as and when required.
  • Ensure the values of **UHD** are maintained and practiced daily, ensuring all patients are treated with dignity and respect to maintain a high standard of service delivery.
Digital and Technical Skills
  • Use hospital computer systems such as TOMCAT, E-CAMIS, Microsoft Word, Outlook, Excel and EPR.
  • Enter patient-related information accurately and promptly, maintaining data integrity.
  • Maintain and update databases and utilise information resources to support the bookings process.
Other Requirements
  • Flexibility to cover colleagues' duties during leave and perform additional duties as directed by the Admin Manager/Team Lead.
  • Manage own workload with frequent interruptions and ensure tasks are completed efficiently.
  • Spend most workdays at a workstation in an office environment, using a computer/VDU for extended periods.
