Responsibilities

  • Deal with patients and internal/external staff enquiries courteously and confidentially.
  • Prepare notes in readiness for clinics and investigations as requested.
  • Place patients onto waiting lists and manage appointment scheduling.
  • Provide support to the technical, secretarial, medical, and nursing staff.
  • Maintain patient safety and well-being in the waiting area.
  • Log telephone requests for investigations and convey messages to technical staff.
  • Ensure case notes, X-rays, and referrals are available for patients attending clinics.
  • Cancel and re-book appointments as necessary, assessing priority.
Job description
Job Overview

This is a full‑time position 37.5 hours per week. The role is based in the Therapies Outpatient Department and covers a 7am‑7pm service with flexible shift patterns. The post requires 7.5 hours per day, Monday‑Friday, and includes rostered early, day, and evening shifts.

Responsibilities
  • Carry out receptionist duties, prioritise and arrange appointments, maintain appointment systems, identify test requests and investigations, and coordinate the various clinics within the department.
  • Deal with patients and internal/external staff enquiries in person or via telephone in a courteous, confidential manner and provide assistance as required.
  • Obtain and prepare notes in readiness for clinics, investigations or at the request of staff within the department.
  • Ensure patients are placed onto the waiting list as appropriate, check short‑notice availability, and issue waiting‑list entry letters.
  • Provide a support service to the technical, secretarial, medical and nursing staff of the department.
  • Maintain patient safety and well‑being in the waiting area and alert staff to any concerns.
  • Keep a log of telephone requests for investigations, prioritise these and convey messages to the appropriate technical staff.
  • Maintain and prepare appointment lists in readiness for clinical work.
  • liaise with secretaries and other departments within the Trust to ensure case notes, X‑rays and referrals are available for every patient attending an outpatient clinic.
  • Cancel and re‑book appointments as necessary, assessing each individual requirement to establish priority and overbooking needs.
