Overview
Rheumatology is excited to advertise for a receptionist to join our team. The Rheumatology team is comprised of doctors, nurses and administration staff, and we are seeking an enthusiastic, motivated, hard-working and flexible person to assist with the smooth running of this busy department. Our dedicated clinical team collaborates as a multi-disciplinary group to strive for excellence in patient care.
What you’ll do
- Deliver a high-quality reception and support service within the Rheumatology Outpatients Department.
- Serve as the first point of contact for all appointment bookings and liaise with relevant clinicians as appropriate.
- Ensure accurate and timely entry of patient information into the Patient Administration System (PAS) with real-time data entry.
- Provide support and cover for the waiting list coordinator in managing bookings for the Rheumatology Day Unit.
- Communicate effectively with patients, relatives, the general public, and a diverse range of multi-professional staff both internal and external to the Trust.
- Prioritise and arrange appointments, maintain appointment systems, identify test requests and investigations, and coordinate clinics within the department.
- Deal with patients and internal/external staff enquiries in a courteous and confidential manner and provide assistance as required.
- Keep a log of telephone requests for investigations, prioritise these, and convey messages to the appropriate technical staff.
- Maintain and prepare appointment lists for clinical work and obtain/prepare notes for clinics or investigations as requested.
- Maintain a record of the transfer of notes to and from the department.
- Understand the 18 Week Pathway, input correct RTT codes and validate the patient pathway where appropriate.
- Liaise with Secretaries and other Trust departments to ensure case notes, X-rays and referrals are available for every outpatient clinic patient; liaise with external stakeholders to obtain referrals if necessary.
Requirements and expectations
The successful candidate will be expected to have:
- Excellent communication and organisational skills.
- The ability to manage and prioritise workloads and work as part of the wider team.
- A high level of attention to detail and accuracy, and an understanding of patient confidentiality.
They should be able to work as part of a multidisciplinary team and contribute to a high-quality reception and administration service in a busy outpatient setting.
Location and hours
Please note this post will be Monday – Thursday 9am-5pm.
