Receptionist - Part Time

Description

Contract: This role is part time, 16.5hrs per week. Please let us know what days you can work in your application.

The Facilities team look after our Chelsea House office, physical work equipment and spaces, and the workplace services available on‑site to provide the best possible experience and seamless support to all our Islanders working at Head Office.

The Workplace Services Assistant will be primarily based on reception, welcoming visitors to our Head Office and providing any support needed, as well as answering the main switchboard, providing general office support such as room bookings, event set up, and admin. The role will also provide back‑of‑house support to our Staff Shop.

Key Accountabilities
  • Meet and greet all Head Office visitors, ensuring they feel welcomed and looked after during their visit, from signing in, to providing directions and arranging taxis as needed.
  • Maintain the reception area to a high standard, escalating any maintenance or safety issues efficiently and ensuring these are resolved.
  • Act as first point of contact for the main River Island switchboard, answering calls, directing and transferring incoming calls, as well as identifying how responses can be further improved for better customer service.
  • Provide Staff Shop support, including replenishment of product, special promotion sales, including pop ups and other ad hoc duties as needed to ensure the smooth running of Staff Shop for all HO based Islanders.
  • Ordering of stationery for head office staff.
  • Assist with ad hoc office events management.
  • Provide administration support within the facilities department including updating electronic documents, and processing Purchase Orders and Invoices.
  • Provide H&S support in the form of fire marshalling to ensure visitor and staff safety.
  • Health & safety documentation on SharePoint is up to date & booking the relevant course for staff.
  • Order, dispatch & collect DSE items for colleagues who work from home.
Key experience required
  • Previous experience in either a Facilities, Reception, Administrative or ‘Concierge’ style role.
  • Good track record of providing excellent workplace services experiences.
