Job summary

Job Overview

If you have excellent clerical and communication skills, and a friendly, polite and helpful manner then there is an opportunity for you to join the Gastroenterology team as a receptionist in our outpatient department. We are looking for an individual who has the ability to communicate effectively with patients, relatives and staff in this busy department.

Our ideal candidate will be flexible, adaptable and able to work well under pressure. You would be required to be a team‑player and able to work alongside the other members of the reception team and all other colleagues within the department. We are also looking for somebody who would be able to do some remote working if the service requires this. If you think you have the qualities to fill this post then we would like to hear from you. Training and support will be given to the successful candidate.

Main duties of the job
  • Receive patients and relatives at reception in a friendly and courteous manner
  • Answer all telephone enquiries, taking and relaying messages in a polite and helpful manner, taking action as appropriate
  • Maintain patient details / appointments efficiently on the patient administration system, including registration of patient referral letters and status of clinics
  • Book new and follow‑up outpatient appointments, including virtual appointments, and ensure all patients are advised of their appointments with reasonable notice or after negotiation with the patient
  • Cancel and rebook follow‑up patients on clinics as directed by senior outpatient staff
  • Monitor and action the department’s generic email inbox
  • Book interpreters when required
  • Liaise with nurses, doctors, GP’s and other members of the department to provide a quality service for the patients
  • Be aware of and adhere to national waiting times targets when scheduling patient appointments
  • Carry out other clerical duties as required; this will include sending and receipt of faxes, photocopying, filing of referrals, appointment letters, opening and sorting of post, copying and distribution of patient information leaflet
