Job Summary

We have an exciting opportunity for a self‑motivated individual to join our Patient Services team at Brackley Medical Centre. Our practice is part of a new purpose‑built site with a Community Hospital, secondary care clinics and private health‑related businesses, serving our community. Our reception team is the heart of our building.

Brackley Medical Centre serves over 16,200 patients and boasts a dedicated team of 5 GP partners, 5 salaried GPs, 4 nurses, 4 Advanced Clinical Practitioners, 5 Health Care Assistants, physiotherapists, Clinical Pharmacists and a variety of Health & Wellbeing Practitioners, alongside skilled medical secretaries and administrative staff. We are a teaching practice that welcomes students and actively participates in research.

Main Duties
  • Receive, assist, and direct patients (care navigation) to the appropriate service or healthcare professional in a courteous, efficient, and effective manner, whether on the reception desk, by telephone or directly with a GP.
  • Provide general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.
Schedule
  • Monday 08:00‑18:30 hrs
  • Tuesday 14:00‑20:00 hrs
  • Wednesday 08:00‑13:00 hrs
  • Thursday 08:00‑18:30 hrs
  • Friday 08:00‑18:30 hrs
  • Saturday 8/6: 08:15‑12:15 hrs (one Saturday in six)
Job Responsibilities
  • Greet patients and visitors in a friendly manner, book them in according to practice policy and direct them appropriately.
  • Answer incoming telephone calls promptly and politely, document and redirect calls accordingly.
  • Process appointment requests, amendments and cancellations from patients.
  • Assist with the movement or cancellation of appointments due to short‑notice staff absence in a timely fashion, using the most appropriate method (e.g., Accurx, telephone).
  • Use the computerised appointment system to ensure efficiency of appointments and monitor the flow of appointments.
  • Explain practice registration requirements to new patients and those seeking temporary cover; ensure new patient details are entered correctly onto computer.
  • Receive payments from patients for private services or deposits for equipment, issue receipts, and process refunds for returned equipment deposits.
  • Respond to all queries and requests for assistance from patients, partners, staff and visitors via all communication methods.
  • Assist with the general administration of patient records and correspondence in an accurate and timely manner.
  • Record all messages carefully and accurately and send to the appropriate person via internal computer systems.
  • Open incoming mail and forward to the appropriate staff member or prepare for scanning/document management.
  • Process prescription requests accurately and timely, escalating any queries as appropriate.
  • Assist in keeping noticeboards and reception area tidy.
  • Register patients for online services and assist with any queries.
  • Ensure the computerised telephone system is set correctly for out‑of‑hours information.
  • Perform any other delegated duties considered appropriate to the post.

Pay & Contract
  • Salary: £12.21 an hour

Person Specification
Essential
  • Experience of working as a receptionist/customer‑facing role.
  • Good level of computer literacy (Microsoft Office and Outlook).
  • Ability to work accurately under pressure in a timely fashion.
Desirable
  • Experience of working in a GP surgery or healthcare setting.
  • Flexible approach to hours and cover as you will be required to cover for absence.
