About Tennant Street Medical Practice

Located in Central Stockton, easily accessed via A66 and A19, a semi‑new build with excellent facilities and a friendly atmosphere. The practice serves over 14,500 patients with 9 GPs, a pharmacist, 3 nurse practitioners, 5 nurses, 1 nurse associate, and 3 health‑care assistants. We are open 5 days a week and closed weekends and bank holidays.

Job Summary

We are looking for a part‑time Administrator to work 37.5 hours per week. This role includes: audio‑typing, clinical coding, referrals, scanning, and answering the phone during busy periods. Strong diplomacy, patience, tenacity, and a sense of humour are essential.

Main Duties
  • Reception and switchboard duties
  • Scanned file management
  • Recall for chronic disease management clinics
  • Audio‑typing and clinical coding
  • Prepare medical reports and copies
  • Process repeat prescriptions
  • Make appointments, handle home‑visit requests, and manage repeat prescription requests
  • Take and pass on messages accurately
  • Provide patient enquiries, give non‑medical advice where appropriate
  • Advise and register new patients, ensuring correct registration procedure is followed
  • Receive laboratory specimens and complete necessary forms
  • Send letters for follow‑up, health promotion, and other communication
  • Check in patients and direct them to the appropriate doctor or nurse
  • Process incoming and outgoing mail, letters, test results, and maintain clinical codes
  • Scanning of patient correspondence, document management, and other administrative functions
  • Attend staff meetings and participate in staff initiatives
  • Identify training needs and participate in induction for new receptionists and other staff
  • Maintain adequate stocks of stationery and supplies, order supplies within agreed protocols
  • Adhere to health and safety, security, and information security requirements
  • Ensure administrative data is recorded accurately in computerised records
  • Report maintenance and technical issues with computer systems and hardware
