A local healthcare provider in Rainham seeks a part-time Receptionist/Administrator to manage front desk duties and assist patients. Job description

We are looking for a part-time Receptionist/Administrator to join our friendly GP practice based in Rainham. The vacancy is a part-time position, 20 hours a week and you will be required to work between the hours of 08.00 and 18.30 Monday to Friday. Previous experience of working in a GP surgery is desired but not essential as full training for the role will be provided.

A knowledge of EMIS Web clinical system is preferred but not essential.

Main duties of the job

The role includes both reception and administration work including being the first point of contact for all patients, booking appointments, answering the telephone, processing prescription requests, dealing with queries, scanning, filing and registering new patients.

About us

We are a small friendly GP surgery comprising of a team of 3 GP doctors, and Advanced Nurse Prescriber, a Practice Nurse and Health Care Assistant and an admin team. Our surgery is a member of Havering South PCN which supports us with an inhouse Physiotherapist and a clinical pharmacist.

Job responsibilities
  • 1. Develop andmaintain effective working relationships with allother employees and contractors at the Practice.
  • 2. Support anduphold an open, positive and honest working culture.
  • 3. Answer the telephone to enquiries and make outgoing calls to patients and other agenciesas required.
  • 4. Greet patients in person, workingto put them at ease and givingany explanations within your competency
  • 5. Make and changeappointments as required.
  • 6. Use email tocommunicate with patients and other agencies.
  • 7. Keep thereception and waiting areas in a smart and orderly fashion.
  • 8. Work with the practice information recordingsystems and computer systems in maintaining clinical records.
  • 9. Handle paymentsto the practice by cash and log in petty cash book.
  • 10. Keep recordsof financial transactions.
  • 11. Keeprecords of PPG members.
  • 12. Action requestsfor medical records requests from insurance firms and other organisations.
  • 13. Ensure on-linetraining is up-to-date and policies are reviewed regularly.
  • 14. Report allsignificant events, including near misses for inclusion in the practice Risk Register.
  • 15. Practice the highest standards of confidentiality when dealing with all aspectsof patient information.
  • 16. Participatein activities required to assess compliance with CQC Fundamental Standards.
  • 17. Participate in the maintenance of a Practice Complaints System, and in resolving complaints, and in improving service.
  • 18. Use allequipment in accordance with published instructions and guidelines.
  • 19. Report to the Practice Manager any faultsor safety worries with equipment andthe premises.
  • 20. Opening anddistribution of practice post.
  • 21. Liaise with secondary care providers andarranging transport as necessary.
  • 22. Dealing with repeat prescription requests.
  • 23. Assisting patients with registrations andprocessing the paperwork.
  • 24. Dealing with all incoming and outgoingpatient notes.
  • 25. Filling all patient information inelectronic and/or paper records.
  • 26. Maintaining up to date patient medical records when required.
  • 27. Daily preparation of Doctors rooms andother clinics.
  • 28. Ensuring Doctors surgeries are stocked withthe necessary paperwork and forms to enable their surgeries to proceed withoutinterruption.
  • 29. Maintaining andencouraging adequate security measures, ensuring allclinic rooms are locked when not in use.
  • 30. Liaising with attached staff, includingHealth Visitors, District Nurses, Midwives, Counsellors, etc. as required.
  • 31. Supporting and encouraging other members ofthe Practice team.
  • 32. Maintaining the Health and Safety of allstaff, patients and visitors.
Person Specification
Qualifications
