Qualifications

  • Previous experience of working within a GP Practice, Hospital admin or other Clinical admin setting.
  • Previous reception business admin training course, not essential but desirable.

Responsibilities

  • Greet and assist patients, directing them to the appropriate service or healthcare professional efficiently and professionally.
  • Provide general support to the practice team, projecting a positive and approachable image both in person and over the telephone.
  • Maintain an effective and efficient reception service, handling enquiries regarding medical advice, medication, and other patient needs.
  • Schedule new and follow-up appointments, explain procedures, and manage incoming and outgoing calls.
  • Accurately enter patient information into EMIS, ensuring records are complete, relevant, and correctly filed.
  • Process repeat prescription requests via electronic prescribing or printed systems.
  • Inform patients of test results and ensure results are filed correctly.
  • Open and secure the premises, including alarm activation/deactivation.

We are seeking a motivated, organized, and empatheticindividual to join our team. This role combines reception and administrativeresponsibilities, ensuring patients are supported and the practice runssmoothly. You will act as a first point of contact for patients, providingguidance, assistance, and information in a courteous and professional manner.

Main duties of the job
  • Greet and assist patients, directing them to the appropriate service or healthcare professional efficiently and professionally.
  • Provide general support to the practice team, projecting a positive and approachable image both in person and over the telephone.
  • Maintain an effective and efficient reception service, handling enquiries regarding medical advice, medication, and other patient needs, and relay them accurately to clinical staff.
  • Schedule new and follow-up appointments, explain procedures, and manage incoming and outgoing calls, ensuring accurate messaging and prompt delivery.
  • Accurately enter patient information into Emis, ensuring records are complete, relevant, and correctly filed.
  • Process repeat prescription requests via electronic prescribing or printed systems, ensuring readiness for patient collection within 48 hours.
  • Manage incoming hospital mail and post, and ensure proper handling of all patient correspondence.
  • Scan and attach non-electronic documents to patient records, ensuring accurate read-coding before appointments.
  • Inform patients of test results (pathology/radiology) and ensure results are filed correctly in the patient record.
  • Open and secure the premises, including alarm activation/deactivation, and maintain a clean, welcoming environment in waiting areas and communal spaces.
