Job Summary

Aelfgar Surgery serves a population of around 7000 patients and we are looking for a part‑time flexible and enthusiastic Receptionist to join our friendly Practice Team. Acting as the practice’s first point of contact and being able to signpost patients to the correct service/healthcare professional is imperative. The successful candidate will provide a high‑quality reception service to patients, doctors and colleagues. Previous experience in this type of role and knowledge of EMIS Web medical software would be an advantage, although training will be provided.

The post is 30 hours per week and works a combination of the following shifts on a rota basis:

  • 07:45–12:45
  • 08:30–13:30
  • 13:30–18:30
  • 18:30–20:00

An essential requirement is the ability to provide cover for holidays and sickness.

Annual leave entitlement (pro‑rated for part‑time staff):

  • On appointment: 24 days
  • 1 year service: 25 days
  • 3 years service: 26 days
  • 5 years service: 27 days
Main Duties

Sign‑post patients and book appointments to see the right person at the right time, process and scan clinical post, and complete repeat prescription requests promptly.

We are a dedicated, friendly, innovative training practice with a complement of healthcare professionals: 1 Clinical Partner, 5 Salaried GPs, 2 Nurse Practitioners, 1 Practice Pharmacist, 2 Practice Nurses and 3 HCAs, working with our Data Management Coordinators and Reception team.

We strive to provide an efficient, effective team that projects a positive and friendly image to assist patients in ensuring they receive the best possible care.

Key Result Areas
  1. Reception Duties
    • Undertake the rota of reception duties.
    • Greeting and directing patients and visitors pleasantly.
    • Assess and provide patients with a clear care navigation pathway.
    • Register new patients and process paperwork.
    • Handle requests for appointments.
    • Accept and hand out prescriptions, letters, forms and specimen bottles.
    • Receive and process visit requests.
    • Explain practice procedures and arrangements to new patients and those seeking temporary cover.
    • Advise patients of charges for non‑NHS services, accept payment and issue receipts.
    • Respond appropriately to queries and requests from patients and visitors.
    • Ensure actions requested by doctors are completed timely and accurately.
    • Process repeat prescription requests within 48 hours.
    • Keep the kitchen clean and tidy and maintain the waiting room.
    • Post mail daily.
    • Prepare post and specimens for daily courier collection.
    • Inform relevant personnel when stock is low.
    • Leave clear information for incoming colleagues regarding unresolved or urgent problems.
  2. Telephone Duties
    • Make appointments at patients’ requests.
    • Receive calls, take messages, and provide detailed information.
    • Make telephone calls as requested, including ordering ambulances.
    • Divert the telephone system as necessary.
    • Enter requests for home visits onto the computer system.
    • Ensure urgent consultations are seen logically and non‑disruptively.
  3. Patient Notes and Correspondence
    • Retrieve and re‑file records, maintaining strict alphabetical order.
    • File correspondence electronically and promptly.
    • Keep records in good repair with visible external cover information.
    • Photocopy medical records upon request.
  4. Premises
    • Open premises at the start of the day and activate the alarm.
    • Secure the building at the end of the day, operating alarm as required.
    • Extract medical records for appointments, visits and clinics.
    • Support clinical staff during surgery hours.
    • File medical records, letters and reports.
    • Operate the appointment system computer.
    • Maintain tidiness of reception, consulting and waiting areas.
  5. Computer Duties
    • Process prescriptions accurately and prepare them for doctors.
    • Complete tasks identified by clinical staff and Practice Managers.
    • Enter referrals accurately and scan mail.
    • Forward referrals via electronic means or post.
    • Report and rectify IT and telephone faults.
  6. Confidentiality
    • Respect patient privacy and handle sensitive information confidentially.
    • Disclose information only to authorised persons per policy.
  7. Health & Safety
    • Use personal security systems per guidance.
    • Identify and manage workplace risks.
    • Maintain clean and safe work areas.
    • Report hazards immediately.
    • Participate in periodic infection control training.

Person Specification – Qualifications
  • At least 12 months experience in reception and with the general public, and 12 months dealing with the public on the telephone.
  • Open, approachable, calm and courteous under pressure with excellent communication skills.
  • Basic computer skills and knowledge are essential.
  • Flexible and dependable.
Desirable
  • Receptionist qualification.
  • Experience working in a GP practice or NHS environment.
  • Completion of Care Navigation Training.
  • Microsoft Word, Excel, Windows.
  • Within commuting distance.
  • Current driving licence.
