9 MONTHS FIXED TERM POSITION (and/or secondment opportunity for internal applicants)

SHIFT PATTERN: Flexible to meet service needs: Hours will vary between 7am & 4.30pm, Monday to Friday.

LOCATION: KIDDERMINSTER TREATMENT CENTRE

We are looking for someone to welcome patients to this hospital site and to book in patients attending our outpatient department at Kidderminster. You will be part of the booking services team and are an essential part of the clinical service. The department is busy throughout the day, so candidates must be able to work under pressure, use their own initiative, and be very organised. A friendly, reassuring disposition is essential for this role. You must possess good communication skills and quick keyboard skills. A working knowledge of the Hospital Patient Administration System and hospital environment is preferred, but not essential.

Job responsibilities
  • Work independently, with supervision available as required.
  • Ensure effective communication between the administration team and the clinical team.
  • Receive and direct patients to the appropriate waiting area or department in a courteous and professional manner.
  • Keep patient demographic details up to date on the PAS system.
  • Use the Patient Administration System (Oasis) to book patients into an outpatient clinic on arrival and make follow‑up appointments or discharge patients on departure.
  • Respond to patient telephone or face‑to‑face complaints in the first instance, seeking support from team leaders or nurses as appropriate.
  • Record the outcome of clinic attendance accurately and immediately on PAS.
  • Handle routine enquiries (postponing, cancelling, rearranging) professionally and promptly.
  • Inform ambulance control and porters of any passengers awaiting transport/transfer and advise patients of how to book transport for their next visit.
  • Register new patients arriving in clinic on the system.
  • Track any event case notes leaving the department on OASIS using the correct tracking code.
  • Open and distribute post that may come to the department.
  • Maintain an up‑to‑date clinic list and vacancy summary list for clinical staff.
  • Work closely with clinical staff to provide a quality service and keep nurses fully informed of any general messages or issues regarding appointments or patient concerns.
  • In exceptional circumstances, support the appointments team and nurses by cancelling patients by telephone at the last minute when clinical staff are unable to arrive.
  • Book walk‑in/emergency patients immediately onto the PAS system, print an outpatient event pack and inform the nursing staff of their arrival.
  • Ensure computer, printer and stationery are available, working effectively and report any faults to the team leader.
  • Work flexibly within normal clinic hours to ensure coverage at all times and never leave the clinic unattended.
  • Notify the team leader of any foreseen problems that will affect the smooth running of the department.
  • Show new staff how to carry out basic reception duties and the required processes for the reception area.
  • Undertake training to become familiar with booking service procedures and practices, maintaining data quality on manual and computerised systems in accordance with policies and procedures.
  • Carry out any other duties, within the grade, as requested by the Booking Services Manager.

Experience
  • Good clerical background.
  • Experience working with the general public.

  • Knowledge of PAS System, e‑RS, 18‑week pathway, Health Records, casenote procedures.
