Job description

Part Time Receptionist (term time only)


Status and Hours: 25 hours per week, 5 afternoons, 1300-1800.


Hamilton College is a non-denominational Christian Independent School for children and young people from the ages of 2-18. The school encompasses Nursery, Junior and Senior levels generating a truly family atmosphere for the individual as they journey through the school.


We are looking to appoint a part-time receptionist to join our administration team. The postholder will work term time only, five afternoons per week with additional work over the summer break if available. The successful candidate will be expected to attend all in-service days.


Purpose of job

To deliver a warm, friendly and professional welcome to the school and act as a key point for information and support to visitors and parents. Provide a full and extensive professional front desk information and reception service to all learners, parents, staff, visitors and guests to the School. To provide the first point of contact for visitors and users of the School whether on the phone, in person or electronically.


Main Duties


  1. Deliver a high level of visitor management - greet parents, pupils, staff and visitors with a friendly, positive, helpful attitude.

  2. Interact politely and professionally demonstrating impressive levels of customer service at all times.

  3. Answer the phone in a polite and professional manner.

  4. Screen and direct phone calls.

  5. Help maintain security by issuing, checking and collecting ID badges as necessary and maintain the school's electronic signing-in system.

  6. Assist colleagues with a variety of administrative tasks.

  7. Reserve transport for educational visits.

  8. Co-ordinate SQA examination entry and departure for learners and invigilators.

  9. Reserve classrooms using electronic system.

  10. Sort and distribute mail. Post external mail.

  11. Monitor e‑mail boxes and re‑direct correspondence to appropriate person.

  12. Manage group and clubs' entry to the school ensuring security procedures are followed.

  13. Provide First Aid when required (First Aid training will be given).


Other Responsibilities


  1. Efficient management of reception and foyer area.

  2. Maintain reception, foyer, fixtures, and fittings to a high standard including Health and Safety requirements.

  3. Arrange for refreshments when necessary.

  4. Keep basic office supplies accessible to parents and visitors when necessary.

  5. Represent with a positive attitude and professional appearance.

Expected Start Date

Monday 5 January 2026 following completion of the School's safeguarding recruitment protocol – two satisfactory references, proof of right to work in the UK and membership of the Protection of Vulnerable Groups (PVG).
