Receptionist – Work Dynamics Business Line
We are seeking a Receptionist to support the Facilities Management team located on the Work Dynamics Business Line. The incumbent will act as the first point of contact for staff, contractors and visitors, welcoming them and assisting with check‑in and direction.
Role Purpose
The Receptionist will work as part of the site‑based Facilities Management team, serving as the first line of engagement for all visitors, staff and contractors. This role is ideal for someone who thrives in a fast‑paced, customer‑facing environment and seeks career growth.
What This Job Involves
- Meet and greet all those entering the building in a warm, professional and polite manner.
- Answer the incoming mobile line and direct calls internally where possible.
- Maintain confidentiality of all appropriate communications and documentation.
- Assist with training existing staff and new hires.
- Record and enter data for guests/contractors attending site.
- Maintain and administer the office pass system, including issuing access passes for new starters, updating user records, and ensuring access lists remain accurate and up to date.
- General tasks as assigned by the Office Manager.
- Manage visitor sign‑in procedures and issue visitor passes in accordance with company security policies.
- Monitor kitchen stock levels and coordinate the ordering of kitchen supplies and consumables.
- Maintain coffee machines, carrying out daily cleaning and routine maintenance tasks, including filter changes, descaling, and liaising with suppliers or service providers when required.
- Assist with the preparation and setup of meeting rooms for client meetings and internal events, ensuring rooms are organised and fully equipped.
- Be flexible and cover other reception staff during annual leave or sickness.
- Carry out weekly Health & Safety inspections, checks, and tests, maintaining accurate records and reporting any issues or corrective actions required.
- Maintain the Security and Health & Safety expectations of JLL and the client.
- Complete the required training of JLL and the client.
- Take in post and deliveries, and send out post as required.
- Book taxis.
- Keep the reception area tidy at all times.
- Exhibit a professional and bubbly attitude and appearance.
Client and Customer Satisfaction
- Ensure service quality and delivery, meeting promises with minimal impact on business continuity.
- Good communication – responsive to the requirements and changes.
- Deliver ‘best in class’ Customer Service and Satisfaction.
- Embrace and utilise technology to capture and facilitate improvements.
- Develop and maintain excellent client relationships based on open and honest communication.
- Maintain regular contact with the Office Manager, consulting on key decisions and advising of incidents, escalations and complaints.
Desired Skills and Experience
- Knowledge of Microsoft Office applications – Word, Excel, PowerPoint.
- Ability to plan and prioritise.
- Strong organisational skills for records management, etc.
- Understanding of delivering the highest level of customer service with excellent attention to detail, communication and people skills and the ability to operate confidently, politely and approachable.
- Demonstrable understanding of FM operations and management of a range of services.
- Flexibility may be required within working hours to accommodate the operation.
- Excellent communication with other employees and visitors.
- Reliability and commitment to the role.
- Multitasking and working under pressure in a fast‑paced environment.
- Ability to work well both within a team and independently.
