Job summary

Bird & Bird in London is seeking a Receptionist to join our Office Services team. The role focuses on providing exceptional client service, greeting visitors and managing meeting rooms, with shifts between 7am and 8pm.

You will be part of a friendly, professional front office, ensuring rooms are prepared, calls and emails are answered promptly, and visitors are looked after. A can-do attitude and strong English communication are essential.

Qualifications

  • Front Office experience in a corporate environment preferred.

Responsibilities

  • Meeting and greeting clients and visitors; inform relevant parties of arrival.
  • Proactively anticipate clients' needs and improve satisfaction.
  • Check conference room bookings; coordinate with Catering, AV and services.
  • Ensure rooms are clean, stocked, and equipment works; manage stationery.
  • Book/manage meeting rooms using room booking systems; handle emails and taxi bookings.
  • Liaise with departments on complaints or repairs; uphold firm policies.
  • Act as an ambassador of the firm and a reliable team member.

We have an exciting opportunity for a Receptionist to join our Office Services team in London. The objective of this role is to provide exceptional service to our clients. A 'can do' attitude is essential; together with the ability to be professional at all times and taking ownership of any situation.

The Reception team consists of a team of Receptionists and a Reception Manager working various shifts between 7 am and 8 pm. The team covers both client and internal meeting room checks, books and manages all meetings within the building, in charge of visitor management, responsible for stationary, arranging taxis for clients and internal staff when required, assisting with events and supporting the Hospitality team when necessary.

Key Responsibilities
  • Meeting and greeting clients and visitors and informing relevant parties of their arrival.
  • Ensuring clients' needs are anticipated and always met and pro-actively seeking ways to improve client satisfaction.
  • Checking the conference room bookings and liaise where appropriate with Catering, Cleaners, AV and Office Services regarding refreshments and requirements.
  • Ensuring rooms are clean, tidy and stocked with stationery, all equipment is in working order.
  • Booking/managing meeting rooms using Eptura/Condeco room booking system.
  • Answering the phone and handling e-mail enquiries, including taxi bookings.
  • Liaising with all relevant departments regarding complaints, faults and repairs and keeping the client informed.
  • To be fully aware of all firm policies and work within the given procedures and standards.
  • Always acting as an ambassador of the firm; a reliable, honest and active member of the team.
What you'll bring
  • Ability to demonstrate a deep understanding of professional client services and care.
  • Excellent organisational skills.
  • Excellent verbal and written communication skills (fluent in written and spoken English).
  • Ability to keep calm in challenging situations and be able to represent the firm professionally when called into client meetings to troubleshoot.
  • A good understanding of the business, a sense of clients' needs and commitment to delivering quality services.
  • Previous Front Office experience, preferably within a corporate environment.
  • Eptura/Condeco or other room booking system knowledge.
  • Flexibility is required to cover shifts between 7am and 8pm as and when required.
