Job description

The Woodhouse Hill Surgery is situated in Fartown with 4,500 patients; we are a training practice offering a variety of services to our Practice Population. We are looking to recruit an Reception Team Leader to join our friendly team and to assist with the smooth running of the Practice. The purpose of the role is to offer general assistance to the practice team and project a positive and friendly image to patients and other visitors

Flexibility is required to cover the surgery's 8:00 am-6:30 pm opening hours Monday-Friday, plus extended access early openings and late closure extended access hours. Also to cover for annual leave and sickness. The shift pattern will be discussed at interview.

The main duties will be to provide face to face first point of contact for patients and to act as a focal point of communication between patients, doctors and other medical staff. You must answer the telephone, book appointments and other related tasks.

Main duties of the job
  • Supervise and support the reception team, ensuring consistently high standards of work.
  • Assist with patient complaints relating to the reception team and support resolution alongside the Practice Manager.
  • Address poor performance in collaboration with the Practice Manager.
  • Promote and maintain professional behaviour across the team, taking action when standards are not met.
  • Act as the first point of contact for all reception staff regarding problems, guidance, and training needs.
  • Serve as the buddy for new starters and support their induction.
  • Ensure all reception staff follow policies, procedures, and consistent working practices.
  • Oversee the reception scanning workflow, ensuring timely and accurate completion.
  • Delegate and monitor administrative tasks as required.
  • Maintain and update clinical rotas.
  • Work closely with the Practice Manager to review performance and ensure training needs are met

  • Process all patient-related communication.
  • Carry out all data‑entry tasks, including scanning, prescription processing, and task handling.
  • Support patient flow and assist with patient management as required.
  • Provide administrative support to clinicians and managers.
  • Perform any other appropriate delegated duties.
