Job description

We are looking for a part time Secretarial Coordinator in York to work Monday and Friday as part of the multidisciplinary team within the radiology department taking a lead role in providing a full and comprehensive PA and secretarial service to designated Consultants and their teams. They will coordinate and manage the multidisciplinary team meeting data relating to the radiology service.

The post holder must ensure the provision of high quality patient care by efficiently deploying senior & junior medical staff in the Radiology Departments by coordinating the Medical Rota. This will involve close liaison with junior doctors, consultants and management teams.

They will be available as a first point of contact for all day-to-day issues affecting medical staff cover. The post holder will be the first point of contact for Doctors to inform the directorate that they will be absent from work. This will involve receiving notification of problems and initiating all necessary actions with the relevant people.

The post holder will actively manage the daily operation and organisation of the Soliton reporting worklists. Taking proactive action to manage reporting wait times, expedite urgent results and report urgent findings to referrers by telephone.

The post holder will be responsible for the co-ordination of senior & junior medical staff across Radiology. Specifically, the post holder will compile and disseminate rotas for the medical staff and act as a single point of contact for doctors for this purpose.

Liaise on any sensitive issues, such as sickness absence, compassionate leave or other sensitive information that the post holder has been made aware of. This should be done in a timely manner with the Management Team.

Administer the booking for conferencing facilities

Managing availability of duty radiologist to provide an acute service for trauma patients in the emergency department.

Manage the workflow for outsourcing of radiology reports to our contracted reporting companies, ensuring a robust process to ensure all records are sent, reported and updated on CPD and soliton, to maintain reporting turn around times.

To ensure that all cases have the appropriate detailed information available for multidisciplinary team meetings.

Management and interrogation of the Soliton computer system to create and provide reports.

Utilising Soliton reports to be in control of the monitoring of the daily reporting worklists.

Facilitate, plan and organise meetings coordinating staff groups managing invites and facilities.
