Job description
The Role

As Purchasing Administrator, you will play a key role in ensuring the smooth procurement of IT hardware, software, and services. You’ll manage supplier relationships, raising quotes, processing orders efficiently, and maintain accurate records to support our team. This position is ideal for someone who is highly organized and detail-oriented.

Key Responsibilities
  • Assisting the Operations Team with client management.
  • Raising and sending quotations for client hardware and software requests.
  • Procurement: to include purchasing hardware, software & services to match requirements and ensure value.
  • Manage the end-to-end procurement process, from requisition to invoice, ensuring compliance with company policies and procedures.
  • Generate new project and job requests for required installation work.
  • Collaborate with the Service Delivery Manager and wider support team regarding delivery dates and returns.
  • Asset Management: Update Company AMS with any hardware and software procurement including warranty renewals.
  • Deliver excellent customer service, ensuring clients are informed and satisfied throughout the order, delivery, and installation phases.
  • Client invoicing for all goods and services.
  • Maintaining supplier invoices on our accounting platform.
  • Manage recurring Client Support Renewals on a monthly basis.
Essential Skills & Experience
  • Previous IT Procurement of hardware, software & services
  • Client liaison & management
  • Proficiency using Microsoft Office Suite (Word, Excel, and Outlook)
  • Attention to detail and accuracy
  • Ability to work independently and as part of a team
  • Strong verbal and written communication skills
  • Ability to work effectively under pressure, managing multiple requests simultaneously
Desired Skills & Experience
  • Previous experience working in an IT MSP environment or similar customer-facing IT admin role
  • Intuit Quickbooks or other Accounts System
  • Experience with service & ticketing systems
  • A proactive approach to learning and problem-solving
  • A collaborative team player with a positive attitude

Salary: To £30k

Holiday Allowance: 25 days + Bank Holidays, increasing to 30 days with length of service.
