Job description

We have an exciting opportunity for an exceptionally organised individual who has a legal secretarial background with property lease experience and exceptional administration skills.

This is a varied role, where no two days are the same, that requires the postholder to maintain the day to day property management duties for the Companys portfolio of properties whilst seamlessly supporting three Directors.

25 hours per week, which are negotiable, but envisaged to be either 9 until 2 or 10 until 3 each day and is office based at our Headoffice in Strood.

Key Responsibilities
  • Servicing bi-monthly Board meetings, that includes agenda preparation, minute taking and prompt distribution of those minutes.
  • Drafting correspondence in a timely manner on behalf of the Directors.
  • Liaising with Company Property Solicitors, Landlords and Managing Agents and assisting with property matters such as planning applications, new leases, changes in leases and renewals etc.
  • Renewals of Trademark and Intellectual Rights.
  • Arranging franchise review and other ad hoc meetings.
  • Arranging regular maintenance and necessary repairs for sites and head office.
  • Requesting, collating and filing various monthly returns from sites, highlighting any areas of concern and actioning remedial works etc in conjunction with Director approval.
  • Assisting with Directors personal and business travel arrangements.
  • Supporting Directors with charity work such as organising seating plans and menus etc.
  • Act as Data Protection Officer (DPO) for the Company.
  • Occasional drafting and handling of civil court cases to recover money.
  • Assisting other departments with tasks where necessary.
Essential Criteria
  • ILEX paralegal qualification or equivalent
  • A minimum of two years relevant experience in property matters, ideally in a legal environment
  • Ability to establish and maintain effective working relationships at all levels
  • Strong knowledge of property documentation processes and procedures
  • Commercially minded and strong business awareness
  • Excellent communication skills (written and verbal)
  • Ability to follow procedures and accurately maintain an up to date knowledge base
