We’re looking for a Projects Coordinator – Operations to play a key role in supporting our project teams and helping deliver a wide range of operational workstreams successfully and efficiently. What You'll Be Doing
Responsibilities

In this vital role, you will support the end-to-end delivery of projects by:

  • Owning and maintaining project reporting, client trackers and Arcus systems.
  • Providing administrative support throughout planning, delivery and close‑out stages.
  • Keeping SharePoint files and project documentation organised, accurate and up to date.
  • Managing operational trackers, dashboards and internal/external reporting requirements.
  • Collating asset data and updating Arcus and client systems.
  • Preparing project close‑out packs including O&M manuals and certifications.
  • Liaising with clients and external stakeholders on planning and coordination activities.
  • Creating and distributing monthly/quarterly governance packs and dashboard data.
  • Supporting the supply chain quoting and budget proposal process.
  • Developing a strong understanding of project scopes, timelines, risks and outcomes.
  • Producing high‑quality presentation packs (PowerPoint, Word, Excel).
  • Raising supply chain orders and supporting material/plant procurement.
  • Communicating proactively with clients and third parties to aid project planning.
  • Tracking stakeholder actions and coordinating working groups.
  • Taking minutes in internal and external meetings.
  • Working closely with Arcus central support teams on behalf of operational teams.
Governance & Control
  • You’ll also support essential governance activities, including:
  • Ownership and governance of administrative systems and project portals.
  • Ensuring project folders and documentation are managed to agreed standards.

We’re looking for someone with:

  • Strong communication skills and the ability to build great relationships.
  • Experience within projects, construction or facilities management.
  • Experience working with third‑party suppliers.
  • Excellent attention to detail and a commitment to quality.
  • Knowledge of project planning admin processes and techniques.
  • Understanding of project management methodology and risk awareness.
  • Strong problem‑solving, stakeholder management and negotiation skills.
  • Confident use of IT including SharePoint, Microsoft Office and reporting tools.
  • Ability to work flexibly and travel as required (including occasional overnight stays).
