Job summary

Transport for Wales is seeking an organised administrator to support Ops Readiness, provide reporting, and manage end-to-end purchase order processes.

You will create trackers, liaise with procurement, and contribute to training entry into service for new fleet types, while building relationships with internal and external stakeholders. Strong Excel and Power BI skills are essential, with the ability to work in a fast-paced environment and manage your own workload.

Qualifications

  • GCSE English & Maths or equivalent.
  • Experience of meeting deadlines and maintaining attention to detail.
  • Proficient Excel skills.
  • Power BI experience.
  • Ability to manage own workload in a fast-paced environment.
  • Ability to build effective relationships with colleagues and stakeholders.
  • Well organised with good planning skills.
  • Knowledge of finance processes (POs, invoices, etc).

Responsibilities

  • Provide administration support for the Ops Readiness team.
  • Create all purchase orders and manage end-to-end process, including setting up new suppliers with procurement teams.
  • Create and maintain trackers for training and entry into service for new/cascaded fleet types.
  • Work with BAU leads to ensure timely, accurate reporting for programme planners.
  • Support Ops Director and departmental heads with meetings, agendas, minute taking, actions, and document control.

Job description

The role is responsible for providing support to the Ops Readiness teams, the Operations Director, and the wider team. This includescoordinating and collating weekly and periodic reports, ensuring all activities are delivered in a timely and efficient manner and in line with the expectations of the role.

Role responsibilities
  • Provideadministration support for the Ops Readiness team
  • Create all purchase orders and follow end to end process, ensure approval, as well as setting up new suppliers (liaison with procurement teams)
  • Creating and maintaining trackers to monitor ongoing training and entry into service for new and cascaded fleet types
  • Work closely with BAU leads to ensure on time and accurate reporting is provided to programme planners
  • Supporting Ops Director and Heads of department with arranging meetings, provide agenda, minute taking, action tracking, documentcontrol and proficient reporting
Who we're looking for
  • Good generaleducation i.e. GCSE English & Maths or equivalent
  • Experience of achieving deadlines and maintaining attention to detail
  • Proficient level of EXCEL knowledge
  • Power BI experience
  • Ability to work in a fast-paced environment and manage own workload
  • Ability to build effective working relationships with colleagues and key stakeholders (internal and external)
  • Well organised, with good planning skills and an eye for detail
  • Knowledge and experience of finance processes (e.g. raising purchase orders, settling invoices etc)

While not essential for this role, Welsh language skills would make a great addition to your application.
