Job description

The Project Support Manager will provide essential support to the PFI Expiry Programme, working closely with both the Future Services Project Manager and the Estates Assets Project Manager. The role will involve managing elements of the programme, facilitating progress across all PFI Expiry work streams, and supporting performance improvement. The post holder will ensure effective coordination, reporting, and communication, contributing to the successful handback of PFI assets and the transition to future service delivery.

You will provide high quality project coordination skills to the team, using Microsoft applications as required to create, track and maintain project documentation and keep communication levels high to all stakeholders.

You will work closely with the PFI Expiry Project Managers and also have the autonomy to ensure the delivery of project tasks within agreed timescales, mitigating risk and issues along the way.

You will be working in a busy project environment, providing a reliable and confident service to the PFI Expiry project, ensuring your work is accurate, on time and clearly communicated.

Main duties of the job
  • Manage and maintain the planning, coordination, and monitoring of project activities across the PFI Expiry Programme including Future Services and Asset Handback.
  • Maintain and update project documentation, plans, and reports.
  • Liaise with internal and external stakeholders to ensure timely delivery of project milestones.
  • Monitor progress against project timelines and escalate risks or issues appropriately.
  • Maintain project databases and information systems, ensuring data accuracy and accessibility.
  • Organise meetings, workshops, and lifecycle reviews, including minute-taking and action tracking.
  • Provide administrative and logistical support to both PMs.
  • Assist in the preparation of reports for meetings linked to PFI Expiry.
  • Contribute to performance improvement initiatives and service development proposals.
  • Provide support to the PFI Expiry Manager and input into the IPA Expiry Health check at Expiry - 3 years (c. July 2026).
  • Liaise with colleagues in the Estates and Facilities Team ensuring that they are kept up to date with developments in relation to PFI Expiry.
  • Maintain the PFI expiry project dashboard and maintain for the life of the project.
  • Maintain the expiry project risk register.
  • Manage the delivery of PFI expiry actions plans ensuring timely updates are provided from all stakeholders
  • Maintain the provision of reports and recommendations to the PFI Expiry Committee and ensure they are issued within governance timescales.
