Job Description
Pay Range: $23.83 hr - $26.83 hr
The Project Specialist provides administrative and project coordination support to ensure efficient operations within the functional area. This role involves managing data, coordinating tasks, supporting internal teams, handling confidential information appropriately, and assisting with special projects while maintaining quality and compliance standards.
Responsibilities
- Perform general administrative duties including photocopying, coordinating meetings and appointments, typing, ordering and maintaining supplies, arranging travel, and preparing or sorting mail.
- Serve as a point of contact for customers and internal stakeholders, providing or obtaining information that may require explanation or interpretation.
- Answer questions related to established policies and procedures and direct individuals to appropriate resources.
- Coordinate projects and assignments of broader scope by identifying and engaging appropriate internal and external resources.
- Assemble and distribute materials, compile and track data, and verify accuracy of collected information.
- Make decisions within established guidelines related to planning, organizing, and scheduling work.
- Create, edit, and revise routine documents including emails, letters, memos, presentations, and reports with accuracy in grammar and spelling.
- Manage work in a confidential manner, ensuring appropriate sharing of sensitive information.
- Manage data, procedures, and processes related to the assigned function.
- Coordinate, organize, and support administrative tasks within the functional area.
- Assist professional and technical staff with special projects as needed.
- Compile and generate reports, statistics, timelines, tables, graphs, and presentations using appropriate software tools.
- Support process improvement initiatives to enhance workflow efficiency.
- Review reimbursement documentation and follow up for missing information.
- Submit vendor requests and research payment status inquiries.
- Manage central inbox activities and ensure timely processing of requests.
- Coordinate ordering of materials and supplies related to programs and events.
- Support program coordination tasks including request handling, documentation updates, and checklist tracking.
- Review travel deviations and handle peer-to-peer requests as required.
- Build quality into all aspects of work by maintaining compliance with quality system requirements.

Experience
- Experience in administrative or project support roles.
- Experience using Excel and Smartsheet.
- Experience working in a fast-paced, multi-priority environment.

- Strong organizational and time management skills.
- Technologically savvy with the ability to learn new systems and tools.
Qualification And Education
- High School Diploma or equivalent.
- Relevant experience in a related field.
- Ability to travel as required.
