Job description
Overview

As a key member of our project coordination team, you will play an essential role in strengthening how we deliver projects across the organisation. Working closely with senior management, commissioning specialists, engineers, and finance teams, you’ll help ensure projects are set up for success from day one. You’ll maintain accurate budgets and schedules, uphold strong commercial and administrative standards, and contribute to improving the reliability of our project reporting.

This role also offers the opportunity to support process improvements, provide cross‑team cover when needed, and take on a variety of ad‑hoc tasks that help keep our portfolio running smoothly.

Responsibilities
  • Support project delivery and governance by working across teams and with Senior Management to enhance delivery behaviours, assist with portfolio management, and manage the Design Team’s Early Warning process.
  • Ensure accurate project setup, close‑out, and financial integrity by working with the Commissioning Team and Management Accountants, maintaining compliance with commercial and administrative guidelines, auditing cost codes, and supporting finance clinics and cost‑code education.
  • Drive accurate financial forecasting and reporting, including preparing forecasts for the new financial year, supporting Design Team forecasting needs, and producing unified monthly dashboards for internal and client use.
  • Improve programme tracking and scheduling by upgrading programme spreadsheets, integrating with the RJ Hub for accurate spend forecasting, reviewing project schedules for accuracy and standardisation, and delivering training where required.
  • Provide operational and cross‑team support including covering Commissioning Team duties, supporting task owners to prevent unapproved spend, and carrying out additional ad‑hoc responsibilities as required.
Qualifications
  • Strong proficiency in the MS Office suite, especially Excel, with the ability to create, manage, and maintain complex spreadsheets for financial monitoring and modelling.
  • Experience using scheduling tools such as MS Project, including the ability to migrate data between systems and support programme‑related processes.
  • Proven analytical, problem‑solving, and communication skills, with the capability to help coordinate and control a portfolio of projects (e.g., Design, Road Safety, Traffic).
  • Demonstrated experience in managing the financial and programme aspects of projects or operational processes (desirable).
  • Relevant project management qualifications or training (desirable), along with the confidence to set up new systems or tools as needed.
