Overview
Role: Project Administrator. The role is within the Project Management team and reports to the Programme Director. The Project Administrator will provide oversight and coordination of projects to ensure governance and assurance across the portfolio. Responsibilities include supporting projects from launch to closure, handling ad-hoc document submission, filing, and auditing for high-value contracts, and, when capacity exists, overseeing internal trials, demos or small research and development projects to develop core Project Management skills for career progression.
Responsibilities
- Support the generation of a dashboard for project adherence, including audits of artefacts and the change management process.
- Assist the project management team to keep master schedules up to date with progress and changes.
- Set up and manage action logs following Project Management Reviews.
- Ensure new contracts (to be executed as projects) are set up correctly in MRP systems and the PMO repository; process changes to contracts as they arise and coordinate timely invoicing with the finance team.
- Work closely with business functions to expedite milestones in line with contractual requirements.
- Responsible for the timely closure of projects, closing out actions, and ensuring appropriate handover activities are completed to get off contract.
- Assist the Project Scheduler with resource planning and reporting.
- Create and maintain a document register for auditing and document control where required.
- Handle all incoming and outgoing documents (where requested), ensuring records are up to date and traceable; create change requests.
Essential Skills & Experience
- Organisational skills with the ability to manage multiple tasks and prioritise effectively.
- Excellent verbal and written communication skills to interact with team members and stakeholders.
- Technical proficiency with project management tools (MS Project) and Microsoft Office Suite.
- An awareness of the project management role within an Engineering and delivery environment.
