Project / Office Administrator - Immediate Start
Location: London
We’re looking for a proactive and highly organised Project / Office Administrator to join our team in central London. This is a dynamic role supporting both office operations and project delivery, offering a great opportunity to work closely with senior members of the team across construction, pre-contract and FF&E departments.
Key Responsibilities
- Provide administrative support to the Project Director, Pre-Contract Manager, and Construction & Furniture teams
- Prepare and distribute purchase orders
- Collate and verify purchase orders and subcontractor invoices
- Maintain up-to-date drawing folders and schedules on SharePoint and on-site
- Prepare site files and compile Operation & Maintenance Manuals (O&MMs)
- Coordinate building access for staff and suppliers
- Manage and authorise timesheets for temporary staff
- Track Client Variation Orders and liaise with the Accounts department
- Support general office administration, including reception duties and welcoming visitors
- Handle incoming and outgoing communications (calls, emails, letters, parcels)
- Maintain office supplies and manage inventory (stationery, equipment, site clothing)
- Share responsibilities with the current Project Administrator
- Provide diary and general PA support to the Founder as needed

What We’re Looking For
- Strong organisational and multitasking skills
- Excellent communication and interpersonal abilities
- A team player who can also work independently
- Familiarity with construction or project-based environments (desirable)
- Experience with SharePoint and basic financial admin (preferred)
