Overview

An exciting opportunity has arisen for a Project Administrator to join a well‑established family‑run business providing full‑service commercial fit‑outs and refurbishments across retail, healthcare, and other sectors. Known for delivering high‑quality under pressure, they have worked with clients such as Shake Shack, Nationwide Building Society, and the NHS.

Responsibilities
  • Setting up new projects in internal systems, ensuring all documentation, details, and work orders are accurate and complete.
  • Coordinating workloads and schedules, supporting Project Managers teams to plan tasks, allocate work, and maintain smooth workflow.
  • Keeping project records up to date, including job statuses, RAMS, site files, client documents, and overall project progress.
  • Managing purchase orders and financial admin, tracking costs, preparing invoicing information, and reconciling project spend.
  • Communicating with internal teams, clients, and suppliers to share updates, clarify details, and ensure everyone stays aligned.
  • Supporting reporting and continuous improvement, producing status and utilisation reports and helping refine processes and templates.
Requirements
  • Experience within a project administrator or coordination role.
  • Experience within construction or facilities management is desirable but not essential.
  • Competent with Excel.
  • Proactive and methodical with high attention to detail.
  • Strong communication skills, as you’ll liaise with suppliers, employees, and other departments.
  • Collaborative, supportive, and able to work closely with others as needed.
  • Comfortable juggling multiple tasks and meeting deadlines in a fast‑paced environment.
  • Experience with using Evolution System is desirable but not essential.
