Job Description

FF&E Project Administrator (Furniture, Fixtures & Equipment)

As an FF&E Project Administrator at Chalk Creatives, you will play a vital support role in helping our team deliver successful projects. From managing documents and schedules to assisting with procurement and client communications, your organisational skills and initiative will ensure everything runs smoothly behind the scenes.

Key Responsibilities
  • Provide day-to-day administrative support to Project Managers and Coordinators.
  • Act as a first point of contact for clients and suppliers, ensuring professional and timely communication.
  • Assist with procurement and order management, liaising with suppliers to track progress and resolve queries.
  • Prepare and format client-facing documents, presentations, and reports using Word, PowerPoint, Excel, Outlook, and Adobe PDF Editor.
  • Maintain accurate project documentation, records, and tracking spreadsheets.
  • Help coordinate schedules, deliveries, and installation timelines with suppliers and contractors.
  • Communicate professionally with clients, contractors, and suppliers.
  • Use initiative to problem-solve and support the team in ensuring deadlines and client expectations are met.
  • Undertake ad-hoc administrative duties to support the wider team.
Requirements
  • Strong organisational and time management skills, with the ability to prioritise and multitask.
  • Excellent communication and interpersonal skills, confident in dealing with clients and suppliers.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) and Adobe PDF Editor.
  • Ability to work independently and take initiative, while collaborating with a wider team.
  • Previous experience in operations or order management is desirable.
