Job summary

Lloyd’s Register Applied Technology Group is seeking a Programme Coordinator to provide maternity cover and support the Senior Programme Manager in delivering LR Foundation’s small grants programme. You will coordinate funding rounds, manage applications, support assessments and ensure records are accurate.

You will liaise with applicants, reviewers and grant holders, produce guidance materials with the Communications Team, and help promote Partner for Purpose while maintaining clear

Qualifications

  • Programme, project or grant coordination experience in funding, research or education settings.
  • Grant-making knowledge in engineering or related sectors desirable.
  • Understanding of the Foundation's mission and engineering's role in safer societies.
  • Experience supporting funding rounds, applications, stakeholder communications.
  • Excellent organisational skills managing multiple timelines, records and requests.
  • Strong written communication for guidance, FAQs, briefings and reports.
  • Attention to detail with programme data and grant records.
  • Ability to synthesize information from multiple sources to identify improvements.
  • Strong stakeholder coordination and cross-team collaboration.
  • Proficiency with Microsoft 365 and Salesforce or grant management systems desirable.

Responsibilities

  • Coordinate planning and delivery of small grants funding rounds with milestones.
  • Serve as point of contact for applicants, reviewers and grant holders; provide timely responses.
  • Support application and assessment including reviewer setup and scoring processes.
  • Maintain application records, approvals, grant setup and Salesforce records.
  • Develop guidance notes, FAQs and application materials with Communications Team.
  • Coordinate internal meetings and follow-up actions with deadlines.
  • Implement process improvements from operational learnings and stakeholder feedback.
  • Maintain programme documentation and handover materials for continuity during maternity cover.
  • Support Partner for Purpose funding rounds and employee engagement activities.
  • Coordinate enquiries and guidance with employees, applicants and grant holders.
  • Assist grant assessment, communications, reporting and record keeping with the team.

About the Role:

The Programme Coordinator will provide maternity cover by supporting the Senior Programme Manager in the coordination and delivery of Lloyd’s Register Foundation’s small grants programme. The role will support funding round administration, application management, assessment coordination, grant set-up, monitoring, reporting and learning activities.

The Small Grants Scheme provides accessible, proportionate funding to support organisations and projects aligned with the Foundation's mission and strategic priorities.

The post holder will help maintain a high-quality, proportionate and applicant-friendly small grants process, ensuring that information, records, communications and internal coordination are clear, timely and well organised.

The role will primarily focus on coordinating and delivering the our small grants programmeand will provide additional support in the delivery of the Foundation's internal funding initiatives and other activity related to our skills and education portfolio. From time to time, the postholder may also contribute to other activities across the Foundation, as appropriate to the role and organisational priorities.

The Role
Small grants programme delivery:
  • Support the planning and coordination of all small grants funding rounds, ensuring activities, deadlines and key milestones are effectively managed.
  • Act as a consistent point of contact for applicant, reviewer and grant holder enquiries, providing clear and timely responses and escalating issues where appropriate.
  • Support the application and assessment process, including reviewer set-up, reviewer guidance, scoring processes, moderation preparation and decision-making support.
  • Work closely with the Grants Team to ensure application records, approvals, grant set-up, contracting information and Salesforce records are accurate and up to date.
  • Support the production and maintenance of guidance notes, FAQs, application materials and web content, working closely with the Communications Team so the scheme remains accessible and easy to navigate.
  • Coordinate internal meetings, decisions and follow-up actions relating to the small grant s programme, ensuring responsibilities and deadlines are clearly recorded.
  • Support practical improvements to the programme’s processes, guidance and delivery based on operational learning and stakeholder feedback.
  • Maintain programme documentation, records and handover materials to support continuity and knowledge management during the maternity cover period.
  • Support the continued development, promotion and delivery of Partner for Purpose, a recently reintroduced employee engagement and internal funding initiative that enables employees to support non-profit organisations aligned with the Foundation’s mission and priorities. This will include coordinating funding rounds and employee engagement activities, while building awareness, participation and impact across the organisation.
  • Coordinate enquiries, applications and applicant guidance, liaising with employees, applicants and grant holders to provide clear and consistent support.
  • Support grant assessment, communications, reporting and record keeping, working closely with the Senior Programme Manager, Engagement Manager and Grants Team.
NEST - Network to Engineer a Safer Tomorrow:
  • Support the Senior Programme Manager in maintaining the Foundation’s relationship with the NEST community of students, graduates and early-career professionals.
  • Identify and coordinate opportunities for future engagement, including links with the Ambassadors Programme where relevant.
  • Maintain relevant records, contacts and follow-up actions to support continuity and effective internal coordination.
Programme and portfolio support:
  • Support the Senior Programme Manager with portfolio reporting, briefing notes, presentation materials and programme updates across the relevant areas of work, working with the Communications Team where needed.
  • Support the capture of learning, outcomes, impact examples and case studies from funded projects, working with the Communications Team to inform reporting, communications and future programme development.
  • Support information requests, briefing materials, knowledge management and cross-programme learning across the Foundation’s small grants programme and wider skills and education portfolio.
  • Undertake any other responsibilities commensurate with the grade and nature of the role.
What you bring
Technical / Professional Qualifications / Requirements
  • Programme, project or grant coordination experience, ideally in a grant making, research, education, charitable, social impact or programme delivery environment.
  • Grant-making experience and/or knowledge of engineering or engineering-related sectors is desirable but not essential.
  • Understanding of, or interest in, the Foundation's mission and how engineering can contribute to safer, more resilient societies.
  • Experience supporting funding rounds, application processes, stakeholder communications or comparable assessment processes.
  • Excellent organisational skills, with the ability to manage multiple timelines, records, actions, applicants, reviewers and stakeholder requests.
  • Strong written communication skills, including the ability to draft clear guidance, FAQs, briefings, feedback summaries, reports and presentation materials.
  • Strong attention to detail and confidence working with programme data, assessment information, grant records, reports and internal systems.
  • Ability to synthesise information from multiple sources and identify patterns, issues, lessons and practical improvements.
  • Good stakeholder coordination skills, with the ability to build constructive relationships across teams and respond clearly to queries.
  • Confidence using Microsoft 365 tools and internal systems, with experience of Salesforce or grant management systems desirable.
  • Ability to work independently on agreed tasks, prioritise effectively and know when to escalates issues.
  • Proactive, collaborative and solutions-focused approach.
