Working hours: 25 hours per week, Thursdays-Sundays

Salary: SCP 23 - £17,254 (£24,826 per annum, pro rata)

Make Music is the name for all of The Glasshouse’s music-making classes, groups, ensembles, and activities for schools and music educators. People of all ages, experience levels and backgrounds sing, play, and create with us. Whether starting from scratch or polishing some skills there’s a class, choir, band, or studio to suit everyone.

Role purpose

Make Music: Young People supports any young person aged 4 to 19 find their voice, learn a musical instrument, write, and produce their own songs, meet others to play and sing with, build their confidence, and take part in exciting performances. The Glasshouse runs a leading musical training that supports young musicians aged 4 - 19 to develop the skills and confidence to reach their musical potential. The Glasshouse understands that people learn in different ways and have different musical interests. We have come up with ways of teaching music that support people’s personal development as well as musical, designed around the needs of the person learning. Through all this we connect young people with visiting artists, and we work with Music Hubs and other partners to support young people to grow in the North East.

Overall purpose of the job

The Make Music: Young People – Programme Assistant will work closely with the Make Music: Young People team, specifically the two Co-ordinators, to support all aspects of our Foundation, Step Up, CAT and Ensemble programmes. The role will be focused on the administration and support of a wide range of activities associated with these programmes, including lessons, classes, rehearsals and performances.

Experience and skills
  • Relevant professional experience of administrating and supporting the running of activities and/or educational programmes.
  • Safeguarding in education contexts;
  • Good administrative skills and ability to manage own workload;
  • Excellent verbal and written communication skills;
  • Skills and confidence in communicating with people from a diverse range of backgrounds;
  • Effective problem-solving skills;
  • Ability to work to deadlines;
  • Able to remain calm and clear-thinking under pressure;
  • Good level of IT skills – including Microsoft Outlook, Word, and Excel;
  • A keen attention to detail.
  • It also helps if you have:
  • An interest in music and education;
  • Responsive, flexible working style;
  • Excellent initiative and resourcefulness;
  • Commitment to teamwork and collaboration.
  • Available to work regularly on weekends.
  • Current Driving Licence.
  • An understanding of different musical styles.
  • Practical knowledge of using Artifax, Tessitura and Xledger software systems;
  • Experience of working in an arts setting.
You’ll be responsible for

Overall

  • To assist in the running of Make Music: Young People activities and events, including compiling resources so that outcomes and relevant targets are met, and young people benefit from a high quality, inclusive music programme.
  • Programme Logistics & Administration
  • Collect and input data into systems (including, but not limited to, Tessitura, Artifax, XLedger);
  • Contribute to all aspects of monitoring and evaluation, including reporting;
  • Compile and distribute programme resources (e.g., timetables, information packs, sheet music, safeguarding information);
  • Communicate with young people, parents/carers, Musicians and Tutors by email and in person;
  • Support financial administration, including raising invoices and purchase orders; ordering and collecting petty cash; purchasing resources; tracking spend;
  • Administrate the production of events and activities, working alongside programme Managers, Co-ordinators, Musicians and Tutors.
  • General
  • Implement safeguarding policies and procedures to maintain high standards of safeguarding and pastoral care of children and adults at risk;
  • Act as pastoral support in a variety of settings;
  • Act as ‘on the ground’ support on performance days and in the Foyle Music Centre, making sure activities are resourced, as required;
  • Attend regular programme or planning meetings, as required;
  • Accept appropriate individual responsibility for the observance, promotion and implementation of Safeguarding, Health & Safety, Customer Care, Equality and Diversity, Dignity at Work and other policies with the Trust;
  • Undertake other duties appropriate to the post and in line with the needs of the organisation.
