Job description

The post of Programme Administrator is to provide a comprehensive, high quality and confidential Programme administrative service within the MoorConnect Programme.

Key responsibilities include:

  1. Act as first point of contact for staff and representatives of external organisations, dealing with all enquiries in a professional and courteous manner.
  2. Provide an efficient, comprehensive and confidential administrative service to the MoorConnect Programme.
  3. Manage and prioritise a busy workload for the Programme using a high level of initiative.
  4. Demonstrate a high level of communication and interpersonal skills in dealing with a wide range of NHS staff and external agencies/organisations.
  5. Plan, organise, prepare and distribute papers, and attend, take and circulate minutes for the following key meetings:
    1. MoorConnect Programme Board
    2. Sub-Group Board
    3. Readiness Steering Group
    4. Clinical and Operational Advisory Group
    5. Other groups on request
  6. Support the Programme Manager and Programme Management Officer in the preparation for these meetings and to constantly monitor and reassess tasks in hand.
  7. Prepare and follow up relevant actions after meetings and circulate as necessary.
  8. Maintain accurate and up‑to‑date the Programme Generic Inbox and triage messages as required.
  9. Develop and maintain effective electronic filing systems for the team.
  10. Be proactive and use initiative to deal with urgent/important/confidential matters that have been notified to the office, ensuring clear communication and consultation with appropriate managers to enable appropriate decisions and actions to be made as soon as possible.
  11. Produce correspondence on behalf of the Programme Director and Programme SROs.
  12. Support Programme Communications on Programme Away Days and other Programme Events by completing specified tasks (e.g. catering booking, invitation sending, booking rooms).
  13. Be responsible for the development and completion of assigned projects within agreed timescales and to initiate and follow through any research and investigation required for such projects.
  14. Work independently as required, using initiative, setting own priorities and being accountable for own actions and decisions.
  15. Provide a flexible approach to tasks and problem solving, and be prepared to take additional responsibilities and work to extended timescales as required.
  16. Maintain a high degree of confidentiality and personal integrity.
  17. Deliver against agreed objectives and PDP.
  18. Perform other duties relevant to the post.
